POSITION SUMMARY
The Hotel Sales Coordinator plays a key role in supporting the Sales & Marketing team by managing administrative tasks, coordinating group bookings, preparing sales documents, and serving as a primary point of contact for clients. This position requires strong organizational skills, excellent communication, and a passion for hospitality. You will help drive revenue, maintain guest loyalty, and ensure seamless execution of sales initiatives across the hotel. Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets. Welcome and acknowledge all guests according to company standards; anticipate and address guests’ service needs; thank guests with genuine appreciation. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Comply with quality assurance expectations and standards. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.
Key ResponsibilitiesSales & Client Support
- Serve as the main point of contact for clients via phone and email, responding promptly to questions, requests, and booking inquiries.
- Assist the sales team with lead generation, follow-up, and qualification to maximize revenue opportunities.
- Analyze market trends and customer needs to identify potential sales opportunities.
- Support inside sales efforts by preparing proposals, presentations, and sales packets for prospective clients.
- Conduct property tours and assist with on-site client visits when needed.
Administrative & Operational Duties
- Perform general office tasks including filing, emailing, typing, copying, and document organization.
- Prepare and process sales-related documents such as proposals, contracts, banquet event orders (BEOs), and group agreements.
- Gather and assemble promotional materials, brochures, and information packets for clients and events.
- Enter, retrieve, reconcile, and verify data such as leads, commissions, and third-party information in sales software and CRM systems.
- Maintain accurate records of client interactions, room blocks, and event details.
Cross-Department Coordination
- Collaborate with Front Desk, Housekeeping, Catering, and Operations teams to ensure smooth execution of group bookings and events.
- Communicate room block details, meeting space needs, and event requirements clearly and accurately.
- Support the team in meeting departmental goals and maintaining brand standards.
Guest Service & Brand Representation
- Promote awareness of the Holiday Inn brand image internally and externally.
- Provide guests with accurate information about hotel services, amenities, rates, packages, and local offerings.
- Uphold company policies, maintain confidentiality, and protect company assets.
- Maintain a professional appearance and deliver service that reflects genuine appreciation and hospitality.
Other Duties
- Build positive working relationships with colleagues and support team goals.
- Comply with quality assurance standards and operational procedures.
- Perform additional tasks as assigned by supervisors.
- Ability to move, lift, carry, push, or pull items up to 10 lbs.
Qualifications
- Experience in hotel sales, sales coordination, or hospitality administration preferred.
- Strong lead generation and follow-up skills with a history of meeting or supporting sales targets.
- Excellent analytical abilities to assess market conditions and customer needs.
- Familiarity with CRM systems and hotel sales software is an advantage.
- Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment.
- Effective verbal and written communication skills for interacting with clients and team members.
- Experience in inside sales or technical sales is beneficial but not required.
- Negotiation skills are a plus.
