Full Job Description

Overview

We are seeking an energetic and highly organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage client facing operations within our service dept, provide exceptional customer service, and support administrative functions that keep our office running smoothly. Your positive attitude and proactive approach will help create a professional and inviting environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Duties

Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued from the moment they arrive
Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette
Handle incoming and outgoing correspondence, including emails, mail, and operations with accuracy and timeliness
Schedule appointments, manage calendars, and coordinate meetings using two custom CRMs and Google Workspace, such as google sheets, Drive, gmail
Perform data entry tasks such as updating records in Crms, job costing entry, and client account invoicing.
Assist with filing, proofreading documents, and maintaining accurate records to support administrative operations
Provide customer support by addressing inquiries professionally and escalating issues when necessary

Skills

Exceptional phone etiquette with experience managing multi-line phone systems effectively
Excellent computer literacy including proficiency in Google Workspace (Docs, Sheets), and CRMs like "Jobber" & " VMX"
Bilingual abilities are highly desirable to serve diverse operational needs more effectively
Strong typing skills with a focus on accuracy and speed to handle correspondence efficiently
Knowledge of office management practices including filing systems, proofreading documents, and calendar management
Customer service expertise with a friendly demeanor that fosters positive interactions
Ability to multitask seamlessly while maintaining attention to detail in fast-paced environments
Personal assistant experience or background supporting executive teams can be advantageous for handling varied responsibilities
Basic bookkeeping skills, such as data entry for invoices or financial records are preferred but not mandatory
Demonstrated time management skills to prioritize tasks effectively throughout the workday

Pay: $17.00 - $20.00 per hour
