Job Title: Real Estate Pre-Closer / File Opener

Join Our Team!

Our real estate law firm is seeking a detail-oriented, organized, and customer-focused Pre-Closer / File Opener to join our closing team. This position is the foundation of every successful real estate closing, ensuring each transaction is accurately opened, organized, and prepared for the closing process.

The ideal candidate thrives in a fast-paced environment, enjoys multitasking, communicates professionally, and takes pride in providing exceptional service to clients, REALTORS®, lenders, and all parties involved in a real estate transaction.

Primary Responsibilities

· Open new real estate files and enter information accurately into the firm's closing software.

· Review contracts and supporting documents for completeness.

· Order title searches, payoffs, tax information, HOA/POA information,

and other necessary closing documents.

· Request and track homeowner association certificates, and other

required documentation.

· Communicate with real estate agents, lenders, buyers, sellers, and vendors

regarding outstanding items.

· Verify receipt of earnest money information, contracts, amendments, and

addenda.

· Monitor deadlines and maintain transaction timelines.

· Organize electronic files and ensure all required documents are received before

the file moves to the closing attorney.

· Maintain accurate records while ensuring confidentiality and compliance with

firm policies.

· Assist the closing team with additional administrative tasks as needed.

Qualifications

Preferred:

· Title company, mortgage company, or real estate office experience.

· Knowledge of residential real estate transactions and closing procedures.

Required:

· Previous experience in a real estate law firm

· Excellent organizational and time management skills.

· Strong attention to detail and accuracy.

· Outstanding written and verbal communication skills.

· Ability to prioritize multiple files simultaneously.

· Professional, positive attitude with exceptional customer service skills.

· Proficiency in Microsoft Office (Outlook, Word, and Excel).

· Ability to learn new software quickly.

· Dependable, self-motivated, and able to work independently as well as part of a

team.
