Front Desk Receptionist – Fertility Clinic

Location: Infinity Fertility Center, Suffern, New York

Infinity Fertility Center, a rapidly growing fertility clinic in Suffern, NY, is expanding our care team! Affiliated with one of the nation's leading fertility centers, we provide exceptional care and remain grounded in our mission as a nonprofit health center, ensuring access for those who may not otherwise be able to afford treatment.

Our Front Desk Receptionists are the first face and voice our patients encounter—often during one of the most emotional journeys of their lives.

We are looking for a warm, organized, and detail-oriented Receptionist to join our growing front office team. If you thrive on creating a calm, welcoming experience for patients and want to be part of a mission-driven healthcare team, we encourage you to apply!

What You'll Do: Core Responsibilities

Patient Experience

Warmly greet and check in patients, setting a calm and reassuring tone from the moment they walk in.
Answer, screen, and route incoming calls, emails, and patient portal messages
Provide clear, compassionate communication to patients navigating sensitive and emotional treatment journeys.

Scheduling & Coordination

Schedule and confirm patient appointments, procedures, and cycle monitoring visits
Coordinate with clinical staff to keep the daily schedule running smoothly and minimize patient wait times
Communicate with outside labs, pharmacies, and referring physicians as needed.

Administrative & Billing

Verify insurance information and collect co-pays/payments at time of visit
Maintain accurate, confidential patient records in our EMR system in compliance with HIPAA
Manage new patient intake paperwork and consent forms

Office Operations

Keep the front office and waiting area organized, stocked, and welcoming
Support clinical and administrative staff with additional tasks as needed

What We're Looking For

Education: High school diploma or equivalent required; Associate's degree a plus
Experience: 1+ years in a medical office, receptionist, or customer-facing healthcare role preferred (fertility, OB-GYN, or specialty clinic experience a strong plus)
Skills: Proficiency with EMR/scheduling software; strong phone and written communication skills
Unwavering empathy and discretion — comfortable supporting patients through emotionally sensitive circumstances while maintaining the highest confidentiality
Meticulous attention to detail, especially with scheduling, records, and billing
Team player with a proactive, can-do attitude in a fast-paced environment
Bilingual (Spanish or other languages) a plus

Job Type

Full-time or Part-time (open to two part-time hires)

Pay

$19.00 – $24.00 per hour, commensurate with experience
