As our company continues to grow, we are looking for an experienced Executive Office Assistant who shares our values and is excited to help our team operate efficiently, stay organized and continue providing an amazing experience for our clients.

About the Position

The Executive Office Assistant will work closely with the owners and help manage the day-to-day administrative and operational needs of the company. This person must be highly organized, dependable, professional and comfortable managing several responsibilities at once.

We are looking for someone who takes initiative, communicates clearly and can confidently help create systems, solve problems and keep our busy office running smoothly.

Responsibilities

Manage client communication through phone, email and text
Schedule and coordinate residential and commercial cleaning appointments
Organize employee schedules and communicate daily job details
Assist with hiring, onboarding and employee documentation
Maintain client records, employee files and company documents
Prepare invoices, track payments and assist with basic bookkeeping
Follow up with clients and help resolve concerns professionally
Assist the owners with administrative tasks and company projects
Help create and improve office procedures and organizational systems
Order and track cleaning products, supplies and equipment
Support the team during schedule changes, callouts and unexpected situations
Protect confidential client, employee and company information

Qualifications

Extensive administrative, office management or executive assistant experience
Experience supporting a growing small business is strongly preferred
Excellent written and verbal communication skills
Strong organization and time-management abilities
Comfortable using computers, scheduling programs, email and spreadsheets
Ability to work independently and take ownership of responsibilities
Professional, trustworthy and dependable
Strong attention to detail
Calm and solution-focused under pressure
Experience in the cleaning or service industry is a plus
