Organized Self-Motivated Detail-Oriented Reliable

JMS Building Maintenance Solutions, an established commercial & high-end residential cleaning and maintenance company, is looking for an exceptionally organized, dependable, and self-motivated Office Operations Coordinator to join our team.

This position is NOT for someone who needs constant supervision or prefers to be busy with people all day. You'll work independently most of the day, managing recurring responsibilities and incoming requests, while communicating professionally in writing with both clients and employees. If you like structure, keep meticulous notes, and believe consistency matters, we want to hear from you.

The right person will be someone who naturally creates order, notices what needs to be done, follows through without being reminded, and takes pride in keeping a business running smoothly.

What You’ll Be Doing

Manage day-to-day office administrative tasks, including scheduling, correspondence, and document organization
Draft and respond to professional written communications with clients and staff
Maintaining schedules, employee information, files, and records
Assisting with payroll and employee-related paperwork
Preparing documents, proposals, correspondence, and other office materials
Following up on outstanding items and making sure tasks are completed
Keeping track of job deadlines, appointments, and important details
Communicating with field employees and helping coordinate daily operations
Organizing digital and physical files
Entering and reviewing information carefully for accuracy
Handling multiple priorities while maintaining attention to detail
Identifying problems and taking initiative to resolve them or bring them to the appropriate person’s attention
Learning our systems and procedures and eventually being able to handle responsibilities with minimal supervision
