Group Sales & Events Manager

Position Summary
The Group Sales & Events Manager is responsible for generating and servicing group business while coordinating the successful execution of meetings, corporate events, weddings, and social functions at The Perry Hotel Naples. This position manages the complete sales cycle—from initial inquiry and proposal through event planning, execution, billing, and post-event follow-up—while building lasting client relationships and maximizing hotel revenue.
The ideal candidate is a highly organized, service-driven hospitality professional with strong sales abilities, exceptional communication skills, and a passion for creating memorable guest experiences. This role works closely with all hotel departments to ensure seamless execution of every event and group stay.

Essential Responsibilities
Sales & Business Development
· Generate new group, corporate, association, wedding, and social event business through proactive sales efforts, networking, referrals, and community involvement.
· Respond promptly to all sales inquiries with customized proposals and competitive pricing.
· Qualify leads to maximize revenue opportunities, including guest rooms, banquet food & beverage, meeting space, and ancillary revenue.
· Conduct hotel site inspections, property tours, and client presentations.
· Build and maintain strong relationships with existing clients while actively seeking new business opportunities.
· Represent The Perry Hotel Naples at networking events, trade shows, Chamber of Commerce meetings, CVB events, and community functions.
Event Planning & Client Management
· Serve as the primary point of contact from contract signing through event completion.
· Coordinate all event details including room blocks, meeting space, food & beverage selections, timelines, room setups, audiovisual needs, amenities, transportation, and special requests.
· Prepare proposals, contracts, Banquet Event Orders (BEOs), rooming lists, billing instructions, and event timelines.
· Maintain regular communication with clients to ensure expectations are exceeded throughout the planning process.
· Conduct pre-conference meetings and post-event follow-up to ensure guest satisfaction and identify future business opportunities.
Operations & Hotel Coordination
· Partner closely with Food & Beverage, Front Office, Housekeeping, Reservations, Engineering, and Accounting to ensure flawless event execution.
· Lead and facilitate weekly Event Order meetings and communicate upcoming events, VIP arrivals, and group activity to hotel leadership.
· Review upcoming arrivals, event details, and room blocks to ensure operational readiness.
· Coordinate group billing, deposits, payment schedules, and final invoicing.
· Monitor event profitability while maintaining exceptional guest service standards.
Sales Administration
· Maintain accurate client information, contracts, and event details within Delphi, MEWS, Cvent, and other hotel sales systems.
· Produce reports including group forecasts, pickup reports, pace reports, and sales activity updates.
· Ensure all contracts, proposals, and event documentation are completed accurately and in a timely manner.
· Assist with departmental projects, sales presentations, marketing materials, and strategic initiatives as requested by the Director of Sales.
· Maintain organized client files and correspondence.
Qualifications
· Minimum 3 years of hotel sales, catering, conference services, or event management experience.
· Previous experience in a boutique or luxury hotel preferred.
· Strong understanding of hotel operations, banquet services, and group sales.
· Experience negotiating contracts and managing multiple events simultaneously.
· Excellent written, verbal, organizational, and interpersonal communication skills.
· Strong problem-solving abilities with exceptional attention to detail.
· Ability to prioritize multiple deadlines in a fast-paced environment.
· Proficient in Microsoft Office Suite.
· Experience with Delphi, MEWS, Cvent, or similar hotel sales/property management systems preferred.
· Bachelor’s degree in Hospitality Management, Business Administration, Marketing, or related field preferred.
