Clinical Research Regulatory Assistant

Essence MD Research LLC — Naples, Florida

Location and Work Requirements

This is a full-time, onsite position located in Naples, Florida.

Applicants must currently reside in Southwest Florida, with a strong preference for candidates who live in Naples or the immediate surrounding area.

This position requires onsite attendance Monday through Friday, 9:00 a.m. to 5:00 p.m., for a total of 40 hours per week.

Position Overview

Essence MD Research LLC is seeking a dependable, highly organized, and detail-oriented Clinical Research Regulatory Assistant to support our clinical research operations.

The Regulatory Assistant will work closely with the Regulatory Specialist, Principal Investigator, Site Director, Clinical Research Coordinators, and other research staff to maintain regulatory compliance and support the conduct of pulmonary and other clinical trials.

This position is best suited for an individual who is organized, professional, able to manage multiple deadlines, and committed to maintaining accurate and complete clinical research documentation.

Primary Responsibilities

Assist with the preparation, organization, submission, and maintenance of regulatory documents for clinical trials
Maintain complete and inspection-ready regulatory binders and electronic regulatory files
Track essential documents, study approvals, amendments, training records, licenses, certifications, and document expiration dates
Assist with Institutional Review Board submissions, continuing reviews, amendments, reportable events, and study closures
Support study start-up, ongoing regulatory maintenance, monitoring visits, audits, and close-out activities
Review study files for completeness, accuracy, consistency, and compliance
Assist with the preparation and maintenance of informed consent forms, delegation logs, training logs, staff credentials, laboratory documents, and other essential study records
Communicate with sponsors, contract research organizations, monitors, investigators, and internal research staff regarding regulatory documentation
Ensure compliance with study protocols, Good Clinical Practice, HIPAA requirements, sponsor requirements, and applicable institutional policies
Maintain confidentiality of participant information and protected health information
Assist with participant recruitment, prescreening, scheduling, and clinical trial administrative activities when needed
Enter, organize, and maintain accurate study information within the site’s clinical research systems
Assist with monitoring visit preparation and respond to regulatory document requests
Support clinical staff with study-related administrative and operational tasks
Perform additional clinical research duties based on study and site needs

Qualifications

Prior experience in clinical research, regulatory affairs, healthcare administration, or a related field is preferred
Administrative experience is strongly preferred
Regulatory affairs experience is a plus
Familiarity with clinical trials, regulatory documentation, or clinical laboratory procedures is preferred
Understanding of HIPAA requirements and patient confidentiality
Strong organizational and document-management skills
Exceptional attention to detail and accuracy
Ability to prioritize assignments and meet multiple deadlines
Strong written and verbal communication skills
Ability to work effectively with investigators, research staff, patients, sponsors, and clinical research monitors
Ability to maintain professionalism and confidentiality
Ability to work independently while contributing to a collaborative team environment
Proficiency with Microsoft Office and electronic document-management systems
Willingness to learn clinical research regulations, Good Clinical Practice requirements, and site-specific procedures
