Looking for an experienced Facilities Operations Manager for a 6-story office building and 4 strip centers located in the Naples, Florida area.
Job Summary:
The Facilities Operations Manager will be required to administer and direct the maintenance and daily operations program to maintain buildings, custodial, and grounds. Maintains equipment and property owned assets. Assists with coordinating construction and renovation programs, as contract with client provides for.
This Facilities Operations Manager is responsible for overseeing operations and maintenance activities for one large office building and 4 strip centers. This position requires coordinating with subcontractors, directing and managing technicians/operators, performing site maintenance and repairs, corresponding with management and tenants, as well as reporting to and taking direction from a District Manager. All work involves flexibility with schedule and requires taking responsibility for projects when needed, within appropriate scope of practice, while adhering to company policies and standards
The Facilities Operations Manager is guided by a thorough knowledge of facilities maintenance and construction principles, practices, and procedures, applicable laws and government regulations, principles of management and supervision and procedures and policies of departments and facility. The Facilities Operations Manager will have oversight of all activities such as maintenance and housekeeping, major building system repairs, working with in-house staff and third-party providers.
Work Performed:
Ø Supervise, schedule, and support maintenance technicians.
Ø Manage daily work orders and maintenance operations.
Ø Provide troubleshooting, training, and technical support.
Ø Perform quality control inspections.
Ø Coordinate with property managers, tenants, vendors, and office staff
Ø Plans, organizes, and controls functions and activities/property events of all support services under the scope of the contract.
Ø Develop, implement, oversee and document preventative maintenance programs on property systems.
Ø Effectively lead operations staff and manage daily work schedules to ensure maximum effectiveness while adhering to all applicable company guidelines and federal and state law.
Ø Reviews and evaluates existing programs, services, and procedures. Develops, implements or guides implementation of new and/or modified property maintenance programs, services, policies and/or procedures.
Ø Meets with client administrative and supervisory staff, as well as community groups, agencies, contractors, architects, and engineers to plan, organize, coordinate, and/or communicate programs, services, policies and/or procedures.
Ø Performs a variety of semi-skilled and skilled work in various crafts such as carpentry, HVAC, plumbing, welding, painting, electrical work, sheet metal work, masonry, and maintaining simple temperature controls.
Ø Monitors flow and quality of work to assure timely completion of workload and adherence to the contractual Scope of Work, Service Level Agreements for each site, Key Performance Indicators, and the client’s standards and regulations.
Ø Ensures inventory of janitorial supplies and maintenance shop equipment is conducted monthly, accurately documented, and saved in the appropriate records. Identifies unnecessary or obsolete items and coordinates their disposal upon receiving client approval. Maintains adequate inventory levels and submits approved requisitions for equipment and supplies as authorized.
Ø Direct/Encourage all tenants to download and actively utilize the property's work order system for maintenance requests and service needs.
Ø Assist in the preparation and managing/tracking of budgets, including utilities management and energy measures program.
Ø Prepares and maintains a variety of departmental records and reports. Ensures all reports received from third-party service providers are properly documented, organized by trade, and saved in the appropriate electronic folders. Prepare monthly client reports in accordance with ESCFederal procedures, or more frequently as directed by the client. Provides a “” approach to all maintenance aspects of the property. Responsible for maintenance details and expected to complete all feasible repairs.
Ø Manages and ensures compliance with State, or local regulatory and code requirements; ensures compliance with federal and local workplace safety regulations.
Ø Assists the janitorial department as needed to ensure the property is kept to aesthetic standards.
Ø Oversees the completion of a variety of management functions.
Ø Monitors work performance and prepare and/or reviews performance evaluations for assigned personnel.
Ø Schedules and approves vacation and holidays.
Ø Orients new employees and develops training procedures for assigned personnel.
Ø Resolves staff complaints or payroll concerns.
Ø Performs counseling and disciplinary responsibilities as required.
Ø Interviews applicants and recommends qualified individuals for hire.
Ø Informs employees of employee relations and recognition programs, answers questions regarding it, or refers them to appropriate resources.
Ø Assists in the planning, coordination, and monitoring of construction and development of physical facilities. Administers Project requisition and approval processes with client, as specified in client owner agreements.
Ø Reviews, evaluates, and recommends approval of plans for construction.
Ø Advises on improvements and/or modifications to buildings.
Ø Interviews independent contractors to obtain and analyze bids, including blueprint analysis of proposed changes.
Ø Submits bids and recommendations / specifications to administration for consideration.
Ø Serves as liaison with contractors, architects, engineers, and material and equipment suppliers.
Ø Negotiates with outside vendors for preferred agreements.
Ø Responsible for grounds care as specified in client contract.
Ø Responsible for custodial services and Life Safety program management or oversight, as specified in client contract.
Ø Performs other services and duties, as delegated, and serves on a variety of facility committees as required by clients or the Scope of Work agreements.
Job Specifications: Excellent Motor Vehicle driving record required. Must be able to pass a criminal background check.
Education and Experience Required:
§ Minimum 5 years responsibility at a management level in areas of property management, engineering, maintenance, or construction in Commercial Properties. The ability to read, comprehend, and transmit complicated detailed instructions orally and in writing. Will accept related military experience of comparable levels.
Physical Demands:
§ Sits, stands, bends, kneels, climbs stairs, ladders and equipment; has good sense of balance to work on heights. Some lifting of medium and/or heavy equipment and tools.
Working Conditions:
§ Some exposure to hazards or risks. Heat, noise, dust and dirt, areas requiring environmental controls or access limitations. Ability to meet deadlines and make sound decisions, sometimes under stress. Works hours necessary to maintain facilities in a safe manner including nights and weekends.
Computer Literacy:
§ Proficient in the use of Windows based office software including but not limited to Microsoft Office, Word, Excel, PowerPoint and Outlook.
Required Knowledge/Skills:
§ Thorough knowledge of commercial building systems and processes.
§ Ability to prioritize and manage multiple projects and respond to unplanned events in a positive and effective manner.
§ Above average communications skills with the ability to supervise, train and/or direct center operations staff or service providers.
§ Ability to read blueprints/construction drawings.
§ Knowledge of Mechanical, Electrical, Plumbing (MEP) systems.
§ Ability to be certified in scissor lifts, boom lifts or other mobile equipment.
§ Ability to safely carry, setup and climb ladders.
§ Ability to access the property roof via portable or fixed ladders to inspect.
§ Ability to inspect the property daily, including interior and exterior.
§ Ability to be on call for property issues and respond during non-standard working hours.
§ On occasion, must be able to work flexible hours including weekends and holidays.
Job Type: Full-time
Pay: $85,000.00 - $95,000.00 per year
