Full Job Description

Overview

The Administrative Assistant will play a key role in ensuring Venture Cares' smooth operations by managing daily administrative functions and leading our volunteer engagement efforts. This dual-role position supports leadership, oversees volunteer recruitment and scheduling, and strengthens our ability to serve the community with excellence.

Responsibilities

Administrative Duties

Serve as the first point of contact for phone calls, emails, and in-person inquiries with professionalism and warmth.
Assist the Venture Cares Executive Director with the ministry's operations.
Assist the Cares Center Manager in day-to-day operations as needed.
Manage calendars, schedule meetings, and coordinate appointments for leadership and staff.
Take notes at all staff meetings and distribute them to Venture Cares staff.
Prepare, edit, and distribute correspondence, reports, and other documents as directed by leadership.
Manage guest relationships utilizing the ministry database.
Manage the Venture Cares information table along with vetted ambassadors.
Assist with data entry, donor database updates, and report generation.
Support event planning and logistics for programs and fundraising activities.
Monitor and order supplies to ensure smooth daily operations.
Process incoming and outgoing mail.
Maintain confidentiality and handle sensitive information with discretion.

Volunteer Coordination Duties

Recruit, train, and onboard volunteers for all aspects of Venture Cares, including events and daily operations.
Develop and maintain the volunteer database, tracking skills, food-handler certifications, availability, and engagement levels.
Manage volunteer schedules to ensure coverage across all Venture Cares programs and events.
Coordinate with the Cares Center Manager to recruit, train, and maintain appropriate volunteer levels, ensuring that all assigned volunteers are capable of performing the required activities.
Develop and maintain operating procedures for all volunteer teams.
Communicate regularly with volunteers, providing updates, recognition, and encouragement.
Plan and coordinate volunteer appreciation initiatives.
Identify and schedule volunteer leaders for each activity to support scheduling and ongoing training.
Maintain records of volunteer hours and contributions for reporting.

Qualifications

A personal relationship with Jesus Christ and a desire to serve others in His name.
A high school diploma is required (an associate or bachelor’s degree preferred).
Proven experience in administrative work and/or volunteer coordination.
Proficiency in Microsoft Office Suite.
Strong organizational skills with attention to detail.
Excellent communication and interpersonal skills.
Ability to multitask, prioritize, and work independently.
Experience with volunteer management software (preferred, not required).
Professional demeanor and commitment to excellent customer service.
Maintain a valid Florida license and remain eligible for church vehicle insurance coverage.
Alignment with the mission and values of Venture Church and Venture Cares.
Team player with a flexible, positive attitude and a heart for service.
Bilingual in Spanish and/or Creole is a plus.

Represent Venture Cares and the love of Christ in all interactions with staff, volunteers, donors, and guests.
Lead or participate in team prayer, devotionals, and other ministry-centered activities.

Working Conditions & Schedule Requirements

Primarily at the Cares Center and at outreach events, with some physical duties such as lifting (up to 25 lbs.), bending, and standing.
Will require weekend and evening hours for events, volunteer activities, and/or distribution activities.
Perform any duties or responsibilities assigned by the Lead Pastor, including assisting church staff during Sunday services.

Pay: $50,000.00 - $55,000.00 per year
