Full Job Description

We are seeking a well-organized, resourceful, and professional Administrative Secretary. We are looking for someone who is self-motivated, detail orientated, and collaborative to join our office team. Experience working as a Middle School Administrator Assistant preferredResponsibilities: Serves as a liaison between the Principal, staff members, parents, outside agencies, businesspeople, students, and the publicCreates a welcoming atmosphere on the phone and in the office for students, visitors, staff, and community members. Assists with inquiries and directs them to the proper personMaintains strict confidentiality of school information including students, their families, and staffWorks collaboratively as a team member within the schoolSchedules substitutes for planned staff absences and informs substitute coordinator, as appropriateProcesses incoming and outgoing correspondence as instructedOrders and maintains supplies as neededPerforms bookkeeping activities for Central Office related to budgets, expenditures, activity accounts, petty cash, and grants, as neededManages activity accounts, grants, donations, and any other accounts within the building, as neededOperates technology appropriate to the position, i.e., word processing spreadsheets, an ability to create graphs, as neededPrepares and reviews payroll information and timecardsElectronically maintains a schedule of appointments and makes arrangements for conferences and interviews, including the school calendarAssists with school events and functionsMaintains secure filesObtains, gathers, and organizes pertinent data as needed and puts it into usable formPlaces, receives, and routes telephone calls and records messages as appropriate Attend meetings as request by supervisorPerforms all other duties as assigned
