Full Job Description

Wollman, Gehrke & Associates, P.A. is growing! As our client base continues to expand, we are looking for talented professionals who share our commitment to providing an exceptional client experience.

We are seeking an experienced Senior Estate Planning Paralegal to join our positive, collaborative, and team-oriented firm. This position is ideal for a detail-oriented professional who takes pride in producing accurate work, providing outstanding client service, and working alongside attorneys and colleagues to help clients navigate important estate planning decisions.

Compensation will be based on experience and qualifications.

While we are primarily seeking an experienced Estate Planning Paralegal, we may also consider an exceptional developing paralegal who demonstrates the professionalism, aptitude, attention to detail, and commitment necessary to grow into the role.

Key Responsibilities

The Senior Estate Planning Paralegal will work closely with attorneys and clients throughout the estate planning process. Responsibilities include:

Communicating professionally and compassionately with clients, financial institutions, and other third parties.
Assisting attorneys with the preparation and administration of estate planning matters.
Scheduling client meetings, coordinating materials, and preparing attorneys for meetings in accordance with their preferred workflow and style.
Assisting with trust administration and probate matters as needed.
Preparing and maintaining asset inventories, financial spreadsheets, bookkeeping records, and financial institution forms.
Coordinating document preparation, execution, and follow-up associated with estate planning matters.
Managing court filings when applicable and communicating with courts, recorders, financial institutions, and other offices to ensure accurate and timely handling of matters.
Drafting correspondence to clients, beneficiaries, financial institutions, and other third parties.
Performing basic to intermediate legal research.
Organizing, maintaining, and updating client files and case-management records.
Monitoring deadlines and proactively following up on outstanding documents, information, and action items.
Collaborating with attorneys and other team members to provide an organized, responsive, and exceptional client experience.

Qualifications

Successful candidates should possess:

3- 5+ years of relevant experience, preferably involving estate planning, probate, trust administration, financial services, or a closely related field.
Exceptional attention to detail and a commitment to producing accurate, high-quality work.
Strong organizational and time-management skills with the ability to manage multiple matters and priorities.
Excellent written and verbal communication skills.
Sound judgment, discretion, and the ability to maintain strict client confidentiality.
Strong analytical, research, documentation, and problem-solving abilities.
Excellent interpersonal skills and the ability to communicate professionally with clients, attorneys, coworkers, financial professionals, and other third parties.
Strong computer proficiency, including Microsoft Office.
The ability to read, understand, and apply legal documents, procedural guidelines, instructions, and applicable requirements.
The ability to identify issues, evaluate available information, and independently work toward practical solutions.
The ability and willingness to learn and become proficient with the firm's case-management and technology systems.

Education & Credentials

Paralegal Certificate or Certification preferred.
Experience with legal case-management software preferred.
Ability to quickly master the software and technology utilized by the firm.
Notary Public commission/certification preferred.
