Full Job Description

We are a high-end custom home builder in Naples, FL seeking an experienced Data Entry / Office Assistant to support our office and project teams. This role is ideal for someone who has worked in construction or homebuilding and is comfortable working in Sage accounting software.

Key Responsibilities

Enter and maintain accurate job cost data, vendor invoices, purchase orders, and change orders in Sage.
Set up and update jobs, cost codes, and budgets for custom home projects.
Reconcile entries against contracts, approvals, and statements to ensure clean, audit-ready records.
Assist with AP/AR processing, including coding, matching, and batching invoices.
Generate basic reports from Sage (job cost, AP aging, etc.) for project managers and ownership.
Maintain organized digital and paper filing for all project and accounting documentation.
General office duties, answering phones, greeting clients, and tracking permits.

Required Qualifications

Minimum 2–3 years of data entry or accounting support experience in construction, homebuilding, or a related field.
Proficiency with Sage accounting software (Sage 100 Contractor, Sage 300, or similar).
Strong accuracy and speed in data entry, with excellent attention to detail.
Comfortable working with job cost codes, budgets, and vendor billing in a project-based environment.
Solid Microsoft Office skills, especially Excel for basic spreadsheets and reports.
High school diploma or equivalent; additional coursework in accounting or business is a plus.

Soft Skills and Work Style

Highly organized, able to prioritize multiple projects and deadlines in a busy construction office.
Strong communication skills to work with project managers, vendors, and ownership.
Dependable, discreet with financial information, and comfortable working on-site in Naples, FL.
Self-motivated and proactive about catching errors and asking questions when something doesn’t look right.
