Legal Assistant – Private Client / Estate Planning
Naples, FL | Hybrid | Direct Hire

A respected law firm in Naples is seeking a detail‑oriented Legal Assistant to support its Private Client and Estate Planning team. This role is ideal for someone who thrives in a client‑focused environment, enjoys working with sensitive information, and is comfortable managing a steady flow of administrative and legal support tasks. The firm offers a collaborative culture and values professionalism, accuracy, and proactive communication.

Key Responsibilities

Provide day‑to‑day administrative and legal support to attorneys within the Private Client and Estate Planning practice.
Assist with preparing, formatting, and finalizing legal documents such as wills, trusts, powers of attorney, and related materials.
Maintain case files, organize client information, and support the progression of matters from intake through completion.
Coordinate schedules, deadlines, and reminders to ensure timely filings and smooth case management.
Serve as a professional point of contact for clients- handling calls, scheduling meetings, and supporting document signings (virtual or in‑person).
Manage electronic records, assist with document organization, and support the firm’s internal workflow systems.
Process billing tasks, expense submissions, and time entry for assigned attorneys.
Support mail processing, client correspondence, and general office tasks as needed.

Qualifications

2+ years of experience in a legal or professional office environment; exposure to estate planning or trusts/estates required.
Post‑secondary education or legal coursework preferred.
Strong attention to detail, organization, and follow‑through.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office and comfort learning legal software platforms (experience with document management or e‑filing systems is beneficial).
Ability to manage multiple priorities, work independently, and maintain confidentiality at all times.
