Job Summary

We are seeking a proactive and highly organized Office Administrator to join our dynamic team. In this vital role, you will oversee daily office operations, ensure smooth communication across departments, and provide exceptional support to staff and clients alike. Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Maintain accurate data entry records using productivity software such as Microsoft Office and spreadsheets, ensuring all information is up-to-date and organized.
Handle calendar management and scheduling for team members, coordinating meetings, appointments, and conference room bookings efficiently.
Oversee office management tasks including supply inventory, equipment maintenance, and ensuring a clean, organized workspace.
Provide clerical support through word processing, proofreading documents, and preparing reports or correspondence as needed.
Assist with client communication and customer service efforts by responding promptly to inquiries and supporting overall client support initiatives.
Support administrative projects utilizing technical proficiency in computer literacy tools like QuickBooks for financial tasks or other specialized software.

Skills

Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using spreadsheets for data management.
Excellent phone communication skills with a focus on professionalism and courtesy; experience with multi-line phone systems is preferred.
Bilingual abilities are a plus to enhance client communication and team collaboration.
Demonstrated office management experience including calendar coordination, supply ordering, and general administrative duties.
Technical proficiency in computer skills such as data entry, proofreading, typing accuracy, and familiarity with productivity software.
Prior clerical or administrative experience in a professional setting; medical receptionist or personal assistant experience is advantageous.
Strong time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail.
