Full Job Description

We are seeking a detail-oriented and highly organized Compliance & Inbound Mail Representative to join our Compliance & Mail Department at a debt collection law firm. This is an entry-level position responsible for the accurate and timely processing, tracking, distribution, and documentation of inbound consumer and client correspondence, as well as supporting various compliance and client-specific outbound processes.

The successful candidate will work within established firm and client procedures and controls to ensure correspondence and compliance-related requests are properly received, identified, logged, routed, and completed within required timeframes. This position requires strong attention to detail, the ability to manage competing priorities, and a commitment to maintaining the confidentiality and accuracy of sensitive consumer and client information.

The position will work closely with the Compliance Manager and other departments throughout the firm to ensure that correspondence and compliance-related matters are properly addressed, documented, and escalated when necessary.

Essential Responsibilities

Inbound Mail & Correspondence

Receive, review, sort, and process incoming consumer and client correspondence in accordance with established procedures.
Accurately identify and categorize correspondence and ensure information is routed to the appropriate department or individual for action.
Enter and maintain correspondence and tracking information in applicable firm systems and databases.
Monitor correspondence queues and deadlines to ensure items are processed and distributed timely.
Identify incomplete, unusual, or potentially time-sensitive correspondence and escalate to the appropriate supervisor.

Compliance Processing & Support

Assist with the processing and tracking of compliance-related notifications and requests, including disputes, validation of debt requests, hardship notifications, fraud notifications, consumer complaints, and other client-specific requirements.
Ensure assigned matters are properly documented, tracked, and routed in accordance with established procedures and client Service Level Agreements (SLAs).
Assist with compliance-related reports, exception reports, and tracking logs.
Escalate potential compliance issues, missed deadlines, or unusual circumstances to the Compliance Manager.

Outbound Correspondence

Assist with designated outbound correspondence processes, including client-specific and compliance-related communications.
Ensure outbound correspondence is prepared, processed, and documented in accordance with established procedures and applicable controls.
Monitor assigned outbound activities for completion and escalate exceptions or processing issues.

Tracking, Reporting & Exception Management

Maintain accurate tracking of assigned correspondence, requests, exceptions, and other departmental activities.
Review assigned exception and control reports and assist with timely resolution or escalation of identified issues.
Assist with departmental reporting and maintain accurate documentation supporting completed activities.
Identify recurring errors or processing issues and communicate them to the Compliance Manager.

Quality, Confidentiality & Team Support

Maintain a high level of accuracy when handling sensitive consumer, client, and firm information.
Follow all established firm policies, procedures, security requirements, and compliance controls.
Maintain confidentiality of consumer and client information at all times.
Meet established productivity, quality, and timeliness expectations.
Work collaboratively with Compliance, Client Services, Operations, and other departments to ensure matters are properly addressed.
Assist with special projects, audits, process improvements, and other departmental assignments as directed.

Preferred

Previous experience in a law firm, financial services, compliance, collections, mail processing, or administrative environment.
Experience working with document management systems, case management systems, or other business applications.
Experience processing high-volume correspondence or transactional information.
Familiarity with Microsoft Office or similar productivity tools.

Pay: From $20.00 per hour
