Full Job Description

Overview

A highly successful and innovated medical device company with more than 33 years of industry leadership seeks a Personal Assistant to support the Managing Director and Vice President of Commercial Operations, who are the company owners. The Managing Director focuses on technical sales and product innovation, while the Vice President of Commercial Operations leads the company's sales, marketing, and business development initiatives.

Although the company's headquarters are located in Minnesota, the owners are based in Brentwood and Nashville, Tennessee, where they work remotely from their home offices. Due to the nature of their roles and active personal lives, local support is needed to optimize their professional productivity and personal life activities.

The ideal candidate is organized, proactive, trustworthy, and enjoys managing a wide variety of administrative and personal responsibilities. This position offers the opportunity to work closely with two business leaders in a dynamic, fast-paced environment where professionalism, initiative, and discretion are highly valued.

Job Summary

The Personal Assistant primarily manages day-to-day activities for the Managing Director and Vice President of Commercial Operations. While this role is primarily work-from-home, the Personal Assistant must be available to run errands and provide in-person assistance as needed during regular business hours. This is a full-time, 9:00 AM to 5:00 PM Monday through Friday, 40 hour a week position.

Responsibilities

Personal Assistance

Ensure 100% confidentiality regarding personal matters; Discretion and trustworthiness are paramount as tasks may be very personal in nature.
Provide proactive support by anticipating needs, managing priorities, and ensuring timely follow-through on commitments and deadlines.
Schedule appointments, manage calendars, meetings, and reminders.
Coordinate and manage vendors, service providers, and household appointments.
Run errands including shopping, deliveries, returns, and other personal tasks.
Book and arrange personal entertainment (concerts, theater sporting events, etc.).
Coordinate events, gifts, reservations, and special occasions.

Administrative Support

Transcribe dictations and create, proofread, and edit documents.
Monitor emails and assist with correspondence and follow-up communication.
Plan for and provide reminders of upcoming deadlines.
Prepare, organize and manage personal documents.
Search, present, optimize, schedule, and coordinate travel arrangements, itineraries, reservations, and transportation.
Organize documents and file, organize files, receipts, and records.
Conduct online research and compile information as requested.
Providing or facilitating support as needed with personal electronic devices including iPhones, iPads, desktops and printers, etc.

General Support

Anticipate needs and proactively solve problems.
Prioritize urgent requests and manage changing schedules.
Provide dependable day-to-day support to optimize productivity.
Coordinate with co-workers as needed.

Qualifications

High School diploma as a minimum.
Proficiency in Outlook, Word, Excel, and Teams.
Previous experience as a Personal Assistant or Administrative Assistant (preferred).

Other Requirements

Availability to provide in-person assistance, run errands and provide general support.
High level of discretion, professionalism, and reliability.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Friendly, team-oriented individual with a strong desire to add value through their actions, words, and can-do attitude.
Ability to work independently and manage tasks with minimal supervision.
Ability to multitask and adapt with changing priorities and workload with minimal direction.
Valid driver’s license and reliable transportation.
Ability to successfully pass a criminal background check.
