Responsibilities

Greet visitors warmly, determine their needs, and direct them appropriately
Manage multi-line phone systems with professionalism, ensuring clear and courteous communication
Handle incoming calls, screen inquiries, and relay messages accurately using excellent phone etiquette
Maintain organized filing systems, including digital spreadsheets and paper documents, to ensure easy retrieval of information
Assist with data entry tasks using productivity software such as Microsoft Office and QuickBooks for financial or administrative records
Support office management activities including calendar scheduling, appointment setting, and basic clerical duties
Provide customer support by addressing inquiries promptly and professionally, ensuring high levels of client satisfaction

Qualifications

Proven experience in office administration or front desk roles with strong clerical skills
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes
Technical proficiency with office management tools, multi-line phone systems, and computer literacy is essential
Bilingual abilities are a plus to effectively communicate with diverse clients and visitors
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Strong customer service orientation paired with professional phone communication skills and proper phone etiquette
Experience with QuickBooks or similar accounting software is desirable but not required
Previous personal assistant or administrative experience that demonstrates time management and calendar management skills
