Job Overview

We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will serve as the first point of contact for visitors and clients, manage incoming calls, and support daily administrative operations. Your enthusiasm and professionalism will help create a positive environment, ensuring smooth office functioning and excellent customer service. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Duties

Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere
Operate multi-line phone systems to answer inquiries, transfer calls, and take messages efficiently
Manage appointment scheduling and calendar coordination for staff and clients
Perform data entry tasks using productivity software such as Microsoft Office, spreadsheets, and Word processing tools
Maintain organized filing systems, both digital and physical, to ensure easy retrieval of documents
Support office management tasks including supply inventory, mail handling, and basic clerical duties
Provide exceptional customer support by addressing inquiries promptly and courteously, both in person and over the phone

Requirements

Proven experience in medical office or front desk reception roles with strong clerical skills
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong computer literacy including technical proficiency in office productivity software and data management tools
Bilingual abilities are highly desirable to assist diverse client needs
Exceptional phone etiquette with experience managing multi-line phone systems and client communication
Demonstrated ability to handle confidential information with discretion and professionalism
Previous experience using QuickBooks or similar accounting software is a plus but not required
