Operations Manager
Position Summary
The Operations Manager is responsible for the day-to-day operational, financial, and administrative management of the Natchez-Adams County Chamber of Commerce. This position serves the organization by overseeing office administration, financial processes, event logistics, executive support, membership administration, vendor coordination, and organizational compliance while ensuring efficient execution of Chamber programs and events.
The Operations Manager works closely with the President/CEO to manage organizational priorities, improve operational efficiency, oversee financial administration, and help coordinate Chamber programs and events.
Financial Management & Accounting
· Process bi-weekly payroll.
· Manage accounts payable and ensure bills are paid accurately and on time.
· Prepare bank deposits and maintain financial records.
· Generate and process invoices for membership dues, sponsorships, event registrations, advertising, and other Chamber revenue.
· Track incoming payments and assist with collections.
· Maintain accurate financial data within QuickBooks and ChamberMaster.
· Perform cost analysis for Chamber events and programs.
· Monitor event budgets and expenses.
· Coordinate sponsorship invoicing and payment tracking.
Office & Operations Management
· Oversee daily office operations and administrative functions.
· Manage office systems, procedures, and workflow.
· Purchase office supplies and maintain inventory.
· Serve as an additional point of contact for visitors, members, vendors, volunteers, and community partners.
· Coordinate calendars, scheduling, and meetings.
· Maintain organizational records.
· Improve operational efficiency and internal processes.
Executive Support
· Provide administrative and operational support to the President & CEO.
· Coordinate meetings, schedules, and special projects.
· Prepare reports, presentations, and operational documents.
· Serve as liaison between leadership, members, sponsors, and vendors.
Event Operations & Project Management
· Lead operational planning and execution for Chamber events including the Natchez Food & Wine Festival, Wine Down Town, Brunch with the Spirits, Annual Gala, Golf Tournaments, Pickleball Tournaments, Bicycle Classic, Luncheons, Leadership Natchez, Young Professionals events, Ribbon Cuttings, Business After Hours, and other Chamber initiatives.
· Coordinate logistics, vendors, venues, permits, budgets, sponsorships, registrations, volunteers, timelines, marketing, and post-event evaluations.
Membership Administration
· Manage membership invoicing and renewals.
· Maintain member records in ChamberMaster.
· Support member recruitment and retention.
· Coordinate sponsorship opportunities and member benefits.
Marketing & Communications
· Maintain Chamber and event websites.
· Coordinate email marketing campaigns using Mailchimp.
· Create promotional materials using Canva and Adobe.
· Support social media and digital marketing initiatives.
Vendor & Contract Management
· Coordinate vendors, venues, caterers, entertainers, and service providers.
· Manage permits, contracts, and event compliance.
Compliance & Organizational Administration
· Maintain confidential financial and organizational records.
· Support reporting requirements.
· Ensure organizational compliance and timely completion of projects.
Qualifications
- High school degree working towards a business degree.
- Previous office management encouraged
- Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, Mail Chimp, Chamber Master, Adobe, and Canva.
