Full Job Description

Company Overview:

We manage large, high-profile, often mission-critical programs worldwide for leading organizations such as IBM, VMware, Goldman Sachs, the U.S. Navy, the U.S Air Force, the U.S. Department of State, Department of Veterans Affairs, the Social Security Administration (SSA), USAID, Treasury, and many other prominent companies and government agencies.

Position Summary:

Manages a region or region(s) for the Social Security Administration’s (SSA’s) Verbatim Hearing Recorder (VHR) or Vocational Expert (VE) program. The Project Manager oversees the onboarding, scheduling, and communications of the Verbatim Hearing Recorders (VHRs) or Vocational Experts (VE). VHRs operate the digital recording systems to record the proceedings during disability appeal hearings held by SSA in their assigned regional offices. VEs are labor market authorities who testify on employability, earning capacity, and job availability, etc. The Project Manager also serves as the liaison between the VHRs/VEs and SSA offices. The Project Manager will monitor staffing levels necessary to ensure that all hearings in their regions of responsibility are adequately covered, and in accordance with contractual requirements.

Reporting to a Regional Project Manager or Project Director, the Project Manager will need to be extremely well organized, able to work with multiple stakeholders, working directly with the SSA Hearing Office management and staff members as well as VHRs/VEs. The PM will work on tight deadlines, build rapid and continuing rapport with Social Security staff and VHRs/VEs by both phone and email, exhibit excellent attention to detail, as well as being familiar with manipulating data and understanding the impact of program metrics. To ensure success, the PM needs to demonstrate interpersonal and organizational skills, the ability to multi-task, an exemplary phone manner, and a desire to provide a high level of satisfaction for client and staff.

Essential Responsibilities and Duties:

Oversee Sr. APMs, and APMs scheduling of VHRs/VEs for assigned hearings, ensuring that disability hearing proceeds when scheduled
Maintain all communications between VHRs/VEs and Social Security offices to increase program efficiency and satisfaction for both parties
Provide daily direction, coordination, and performance oversight for Assistant Project Managers (APMs) and Senior Assistant Project Managers (Sr. APMs).
Review and ensure that all contractual requirements are met
Enforce/implement procedures for each assigned region to ensure the highest possible hearing coverage for the Social Security Administration and claimants
Provide training and monitor Sr. APM, and APM performance

· Ensure biweekly invoices are reviewed, reconciled and submitted on time

· Track performance notifications, address performance issues, and file quality assurance reports to client per monthly schedule as defined contractually.

· Audit hearing coverage; work with teams to determine coverage needs and provide strategies for filling any un-serviced dockets

· Improve program operations on an ongoing basis

· Offer support and guidance to Suitability and Credentialing

· Work directly with Hearing Office Directors; leading monthly check-in calls

· Participate in monthly calls with SSA Contracting Officers and Headquarters personnel to review performance metrics and ensure all parties meet established standards.

· Ensure contractors have met all compliance requirements with SSA

· Implement new processes/procedures as required

· Additional tasks may be assigned as needed

Minimum Qualifications:

· Bachelor’s degree preferred (relevant experience may be considered in lieu of a degree)

Strong understanding of government contracts, contract requirements, the Service Contract Act (SCA), and applicable federal regulations.
Proficient in Microsoft Office Suite, including Word, Excel, and Adobe Acrobat Pro, with advanced Microsoft Excel skills for data analysis, report generation, and spreadsheet management.
Minimum of 3 years of management experience gained through prior leadership positions.
Ability to work independently with minimal supervision while providing effective leadership and direction to team members.
Excellent organizational, analytical, and problem-solving skills.
Strong verbal and written communication skills, with the ability to build and maintain effective relationships with clients, stakeholders, and cross-functional teams.

· Extremely detail-oriented and able to accurately resolve complex issues

· Ability to take initiative, work independently, and meet strict deadlines

· Strong customer service and conflict resolution skills

Physical Requirements:

The physical requirements for the Project Manager position typically align with standard office work, as the role is primarily administrative, and desk bound. However, it's important to outline these requirements clearly to ensure candidates understand any physical demands of the job and for ADA and Worker compensation purposes:

Sedentary Work:
The role generally involves sitting for extended periods while working at a computer or desk.
Manual Dexterity:
Ability to use computers and office equipment such as printers, copiers, and telephones, requiring hand-eye coordination and fine motor skills.
Visual Requirements:
Prolonged periods of looking at a computer screen.
Ability to read documents, spreadsheets, and email correspondence.
Communication:
Frequent talking and listening, either in person or over the phone.
Clear verbal communication skills for interviews, meetings, and presentations.
Mobility:
Occasional need to move around the office to meet with employees, retrieve documents, or attend meetings.
Potentially lifting light office supplies or materials (typically up to 20 pounds).
Environment:
Primarily works in a climate-controlled office environment with standard lighting and noise levels.
Travel:
Some roles may require occasional travel to other company sites or for training purposes, which could involve driving or air travel.
