Full-time, 30-40 hours a week, Monday-Friday, 8:00a-4:30p

No on-call, no weekends, no holidays.

Benefited position after 60-day waiting period.

JOB SUMMARY:

The Surgical Services Scheduler works under the supervision of the Director of Surgery. The Surgical Services Scheduler is a member of the surgical team, who works with clinics, physicians, physician assistants, nurse practitioners, surgeons, anesthesiologists, and certified registered nurse anesthetists, registered nurses, and other personnel. Performs a variety of general and specialized clerical support tasks related to the surgery departmental functions. The Surgical Services Scheduler is responsible for ensuring and promoting a surgical environment that focuses on correct and timely scheduling of surgical procedures. The surgical services scheduler works closely with the Director of Surgery, nurse navigator, surgical services Tech coordinator, specialty clinic staff, providers, and other departments to gather all pertinent information to assist the surgical team to plan and prepare in order to safely and proficiently execute the surgical procedure.

JOB DUTIES:

Responsible for daily maintenance of the surgery schedule (along with the Director).
Responsible for answering the phone and directing calls as appropriate.
Book patients for clinic and surgery appointments, coordinating and following up on laboratory and imaging tests, communicating with families over telephone/email, record keeping and filing.
Receives and processes requests for surgical procedures and coordinates with surgery schedule and physicians.
Develop and update surgical waitlists if applicable as needed.
Edits surgical schedule – identifying errors or conflicts, assign/schedule extra cases and adjust surgery schedule under the Director’s final discretion, confirms final booking assignments with designated personnel.
Determines appointment priority and schedules patients using appropriate electronic scheduling application.
Communicates and collaborates with admissions, nursing, surgeons, specialty clinics, and other departments.
Works closely with providers and surgeons, nursing units, and other departments to identify and address any scheduling conflicts.
Ensures all required documentation is provided and prepares patient charts in accordance with established procedures and guidelines.
Prepares and compiles patient medical records or patient information in surgery.
Under supervision schedules appointments and booking times, determining priority by reviewing and evaluating patient information such as patient history, test results and pertinent reports, in consultation with other modalities and departments.
Acts as a communication link by arranging for patient tests, entering diagnostic requisitions, and receiving results; assembling and maintaining patient charts.
Must maintain patient confidentiality at all times.
Demonstrates exceptional organization skills and the ability to work in a fast-paced team environment.
Demonstrates the ability to express self in all areas of communication (verbal, written, non-verbal) utilizes effective listening and questioning techniques.
Ask questions, for clarification, or repeated information to avoid any misunderstandings.
Provides assistance to staff to ensure patient information is collected and available in a timely manner.
Greets customers and answers phones in a professional manner.
Ensures computer schedule and information programs are maintained and updated in a timely manner, filing, chart building, etc. as appropriate.

Requirements:

EDUCATION:

High school graduate or equivalent (minimum)
Basic Computer skills (Microsoft Word, Excel)

EXPERIENCE:

Experience working in a hospital setting is desirable.
Previous office/admissions experience preferred

CERTIFICATION REQUIRED:

Basic Life Support Certification (BLS)

ESSENTIAL PHYSICAL REQUIREMENTS:

While performing the duties of this job, the employee must be able to move throughout the hospital to complete necessary tasks.
The ability to use a variety of office and clinical machines including but not limited to computer systems, photocopiers, fax machines.
Must be able to talk in person and on the phone.
Must be able to communicate with both written and verbal skills to effectively disseminate information.
Work in demanding, high-stress environment
Exposure to blood and body fluids, communicable diseases, chemicals, radiation, and repetitive motions
Sitting, standing, and walking for extended periods of time
Lifting and carrying items weighing up to 50 pounds
Corrected vision and hearing within normal range
Must have full range of motion and be able to bend correctly with knees and lift, and maintain correct posture while
Must be able to sit for extended periods of time to complete written work.
Must be able to stand for extended periods of time
The ability to utilize critical thinking, prioritization, and problem-solving skills.
Working under stressful conditions

Ability to process information to effectively communicate with others
Ability to communicate effectively using verbal and written communication skills in multiple relationships with variety of cultural and social backgrounds.
Ability to recognize, anticipate and respond to the needs of all customers in a caring, respectful and courteous manner that leads to satisfactory resolution for the customers.
