TOAST REAL ESTATE is looking for a highly organized, detail-oriented, and proactive Transaction Coordinator & Compliance Officer to support our agents and oversee residential real estate transactions from contract acceptance through closing and post-closing file completion.
This role is responsible for helping transactions move forward smoothly while ensuring files are accurate, complete, organized, and compliant with brokerage policies and applicable Nebraska and Iowa real estate requirements.
We’re looking for someone dependable, service-oriented, and comfortable holding others accountable for deadlines and documentation requirements. The ideal candidate can remain calm under pressure, communicate professionally, manage multiple priorities, and take pride in creating accurate and compliant transaction files. This is a collaborative position that will work closely with brokerage leadership, agents, clients, lenders, title companies, and other transaction partners.
What You’ll Do
Transaction Coordination
- Manage residential real estate transactions from contract acceptance through closing and post-closing file completion, keeping transaction records, contacts, contingencies, and documents current in brokerage systems.
- Monitor & communicate critical deadlines, missing documents, outstanding action items, and transaction updates to agents, clients, lenders, title companies, and other involved parties.
- Request, track, and distribute required transaction and closing documents, including amendments, inspection records, title information, commission instructions, referral agreements, settlement records, and calendar invitations.
- Coordinate transaction appointments and complete final file reviews to ensure all required closing, commission, and post-closing documentation has been received and properly organized.
Compliance Review
- Review listing and transaction files for completeness, accuracy, and compliance with TOAST REAL ESTATE policies and applicable Nebraska and Iowa real estate requirements.
- Identify missing, inconsistent, or potentially noncompliant documentation; communicate required corrections and follow up until all outstanding items are resolved.
- Maintain clear compliance records, assist with internal file reviews and audits, and promptly escalate significant contractual or compliance concerns to leadership.
What We’re Looking For
Preferred Experience
- Two or more years of experience in real estate transaction coordination, brokerage administration, compliance, title, lending, legal support, or a related field preferred
- Working knowledge of real estate contracts, disclosures, addenda, agency documents, and transaction deadlines
- Experience with Nebraska and Iowa real estate transactions preferred
- Current or previous real estate license is beneficial, but not required
- Experience with Dotloop, AFrame, Lofty, Google Workspace, or similar brokerage systems preferred
- Strong organizational, time-management, and problem-solving skills
- Ability to manage multiple transactions, deadlines, and shifting priorities
- Ability to maintain confidentiality and handle sensitive information professionally

Work Environment
This is a full-time, in-office position based at TOAST REAL ESTATE’s Omaha office. Regular in-person attendance is required to support transaction coordination, agent communication, compliance review, training, and daily brokerage operations.
The position will initially be fully in-office during onboarding and training to allow for close collaboration with brokerage leadership and hands-on instruction in TOAST REAL ESTATE’s systems, procedures, and compliance standards. A hybrid work schedule may become available in the future based on training completion, job performance, business needs, transaction volume, and management approval. Hybrid work is not guaranteed and may be modified or discontinued based on the operational needs of the brokerage.
Because we work in real estate, deadlines and priorities can shift quickly. Some flexibility outside standard business hours may occasionally be required to address transaction deadlines or time-sensitive issues.

Pay: $45,000.00 - $55,000.00 per year
