Under the direction of the Assistant Superintendent for Finance & Operations, the Temporary Production Specialist is responsible for providing school photocopying, document production and mail carrier services for the Needham Public Schools and other Town of Needham departments.
Essential Functions and Duties of the Position: The essential functions and duties listed blow are intended as illustration of the various types of work that may be performed. Copy Center Services:
- Print Production- Operate high-speed, multifunction copiers, scanners and digital printers to fulfill print requests within established deadlines.
- Document Finishing- Perform technical finishing tasks such as cutting, drilling, hole puncing, folding, collating, attaching coil/comb bindings.
- Compliance- Screen print/copy requests to ensure compliance with copyright laws and organization policies.
- Tracking and Record Keeping- Maintain logs of incoming and outgoing copy jobs; track the status of copy center tickets; issue invoices for completed jobs; collect copy counts for copy machines located throughout the Town and communicate count information to vendors and the Business Office; monitor and replenish copy center supply inventory.
- Pickup and Delivery- Pickup and deliver photocopy jobs.
- Other Production Services- Provide other related services, as assigned.
Mailroom Operations:
- Sorting and Distribution- Receive, sort, and distribute interoffice mail, incoming mail and parcels to appropriate departments and individuals.
- Envelope Stuffing- Operate folder/inserter and other mailroom equipment.
- Pickup and Delivery- Operate Production Center delivery vehicles to pickup/deliver mail from/to Town of Needham departments, the US Post Office and private mail carriers. Act as courier for School Committee packets and other assigned mailings. Perform special deliveries upon request.
- Shipping and Postage- Process and meter outgoing mail (including bulk mail), weigh packages, calculate postage and prepare items for courier pickup-using postage meters and shipping software.
- Equipment Maintenance- Perform basic troubleshooting and minor repairs on mailroom equipment and coordinate with vendors for major servicing.
- Tracking and Record Keeping- Maintain logs of mail, incoming/outgoing packages; track and monitor postage meter balances; replenish meter balances following established procedures; issue invoices for metered mail; and monitor mailroom supply inventory.
- Other Mailroom Services- Provides other related services, as assigned.
Minimum Qualifications, Experience, Skills, Knowledge & Physical Requirements:
- Education & Certifications- Requires High School Diploma or GED. Possess and maintain a Class D MA driver’s license in good standing.
- Experience- Experience in copy center/mail room environments preferred but not required. Experience operating delivery vehicles preferred but not required.
- Technical Skills- Basic computer literacy, including proficiency with Google suite, adobe, and digital photocopy/tracking/shipping software. Ability to operate a motor vehicle.
- Soft Skills- Strong organizational skills, sharp attention to detail, and excellent customer service skills. Ability to organize, prioritize work responsibilities and use time efficiently. Ability to maintain confidentiality and handle difficult situations with sensitivity and tact. Skill in written and oral communications. Ability to calmly and professionally interact with students, parents, teachers, co-workers and visitors in a dynamic environment.
- Knowledge- Working knowledge of mailroom and copy center technology and equipment, as well as copyright laws and restrictions.
- Physical Requirements- Must be able to walk and stand for extended periods and routinely lift/move and push/pull packages weighing up to 50 lbs. Must be able to operate a motor vehicle, including a truck with a manual lift gate. Must be able to operate a variety of automated office machines and equipment. It is expected that there will be regular periods traveling outdoors, subject to all weather conditions and extremes.
Duration of Temporary Position:
- This position will work on a temporary basis until the permanent Production Specialist position is filled and subsequently, as an assistant to the newly-hired permanent position through August 31 on an as-needed basis.
