About the Firm
We are a small, well-established general practice law firm seeking a dependable, organized, and personable Administrative Legal Assistant to join our team. Our practice includes real estate, estate planning, probate, business matters, and civil litigation.
We are looking for someone who takes pride in doing things accurately, communicates well with clients and coworkers, and is comfortable working in a professional legal environment.
Real estate or law office experience is preferred, but not required. We are willing to train the right person who demonstrates a strong work ethic, attention to detail, and willingness to learn.
Responsibilities
The Administrative Assistant will provide day-to-day administrative and clerical support to the attorneys and office, including:
- Answering and directing telephone calls and greeting clients
- Scheduling appointments and maintaining attorney calendars
- Preparing, formatting, scanning, copying, and organizing documents
- Opening, organizing, and maintaining client files
- Assisting with electronic and paper filing systems
- Preparing correspondence, letters, forms, and other routine documents
- Communicating professionally with clients, courts, title companies, real estate professionals, and other third parties
- Assisting with real estate transactions and related documentation
- Assisting attorneys and staff with administrative tasks and special projects
- Processing incoming and outgoing mail and other office correspondence
- Maintaining confidentiality of client and firm information
- Performing general office duties as needed
Preferred Qualifications
- Prior administrative, legal, real estate, title, or office experience preferred
- Strong organizational and time-management skills
- Excellent attention to detail and accuracy
- Professional telephone and interpersonal skills
- Ability to communicate effectively in person, by phone, and in writing
- Proficiency with Microsoft Word, Outlook, and general computer applications
- Ability to learn new software and office procedures
- Ability to prioritize multiple tasks and meet deadlines
- Dependable, professional, and positive attitude
- Ability to work independently while also being a team player
Real Estate Experience
Experience with real estate transactions, deeds, purchase agreements, title work, closing documents, or communication with title companies and real estate professionals is a significant plus, but applicants without this experience are encouraged to apply.
