Full Job Description

Performs a variety of support duties involving correspondence, records management, public relations, accounts payable, minutes, elections, business licensing, dog licensing, building permits, special events, and cemetery records.

Example of Duties: · Composes and completes correspondence on various subjects related to the Administrative, Financial, and Public Safety departments, and maintains databases for all departments.

· Attends to, records, distributes, and publishes minutes for the Town Council and Appeals Authority.

· Creates and posts agendas for public meetings along with other public notices for the City Council that are required to be posted within the Utah State Code guidelines, assists in the creation of the board members' packets and distributes such packets, creates with the Town Council Ordinances and Resolutions and maintains databases related to such documents. Keeps the Seal for the City and other Boards.

· Is the Records Management Officer for the city as per State Code; assists the public in GRAMA requests and completion of the GRAMA requests, may distribute such requests to the Deputy Clerk or appropriate departments for completion.

· Reviews and maintains the quality of all city contracts made on behalf of the city and maintains a properly indexed record of all such contracts; maintains all city records per State Archives requirements, receives and compiles verbal and written comments from the public.

· Assists the public in the routine exchanges of facts and information in person and via telephone inquiry.

· Is the Election Officer for the city, coordinates city elections, assists the County Clerk’s office in county elections held in the city, is responsible for the publications and postings for municipal elections, and maintains the election roster for the city as per State Code requirements. Assists in the creation of Candidate Packets and distributes such packets.

· Monitors accounts payable to the city and pre-audits all claims and demands against the city before payment is made and prepares necessary checks in payment of claims.

· Responsible for the payroll for the city and all retirement payments, IRS tax payments, and reports.

· Responsible for the reconciliation of all bank accounts, responsible for the city petty cash disbursements, and tracking and maintaining such records of petty cash used.

· Responsible for addressing new development within the city boundaries and works in conjunction with the Public Works Supervisor. Maintains an addressing database for all addresses within the city boundaries.

· Serves as the Sexton for the Town of Genola Cemetery. Is responsible for the records, perpetual deeds, and reports as per State Code requirements.

Serves as an assistant to the Mayor of the City and assists in daily operations
