Full Job Description

Department: Administration / Operations

Reports To: President & CFO

Also Partners Closely With: CEO and CMO

Key Peer Relationship: General Manager

Employment Type: Full-Time, Exempt

Position Summary

The Director of Administration serves as a key operational partner to the President & CFO, ensuring the smooth execution of administrative, organizational, and operational functions across the company. This role is designed to free up executive bandwidth by owning the day-to-day administrative infrastructure that supports strategy execution, sales operations, and overall organizational effectiveness. In addition, this role will support the company's other two partners — the CEO and CMO — helping drive execution on product and marketing initiatives, and will work as a peer alongside the General Manager on organizational effectiveness efforts. The ideal candidate is a highly organized, trustworthy operator who can manage complexity, drive cross-functional coordination, and translate executive priorities into operational action across all leadership partners.

Key Responsibilities

Executive & Strategic Support

● Serve as an administrative right hand to the President & CFO, helping drive follow-through on strategic initiatives and company priorities

● Coordinate cross-departmental projects, tracking deliverables and deadlines to keep strategic initiatives on schedule

● Prepare briefing materials, reports, and presentations for leadership meetings, and strategic planning sessions

● Manage the President's calendar, meeting logistics, and travel coordination as needed

Sales Operations Support

● Support sales administration functions and reporting

● Take point on coordinating all trade shows, including logistics, scheduling, booth planning, and on-site coordination

● Work with the President to coordinate meetings with partners and customers during overseas visits

● Coordinate the development of marketing materials for trade shows, working with internal teams and outside vendors as needed

● Coordinate logistics for sales meetings, pipeline reviews, and sales team onboarding

● Assist in tracking sales performance metrics and preparing summary reports for leadership

Product & Marketing Execution Support

● Partner with the CEO/CMO to support execution on product initiatives, tracking project timelines, deliverables, and cross-functional dependencies

● Partner with the CMO to support execution on marketing initiatives, budget tracking, and vendor/agency management

● Coordinate meeting logistics, reporting, and follow-through for product and marketing leadership priorities

● Serve as a liaison between the CEO, CMO, and other departments to ensure alignment on cross-functional initiatives

Organizational Effectiveness

● Work as a peer alongside the General Manager to drive organizational efficiency and effectiveness initiatives

● Develop and implement administrative policies, procedures, and internal controls to improve organizational efficiency

● Support HR-related administrative functions, including onboarding logistics, personnel recordkeeping, and compliance tracking

● Identify and lead process improvement initiatives across administrative and operational workflows

● Act as a central point of coordination between departments to ensure alignment on organizational priorities

Qualifications

Required:

● Bachelor's degree in Business Administration, Management, or related field

● 5+ years of experience in administrative management, business operations, or a similar role supporting executive leadership

● Strong organizational skills with the ability to manage multiple priorities across strategy, sales, and organizational effectiveness functions

● Experience supervising staff and managing vendor/contractor relationships

● Experience coordinating trade shows, events, or similar logistics-heavy initiatives

● Excellent written and verbal communication skills

● Proficiency in Microsoft Office/Google Workspace, CRM systems, and general administrative tools

● Willingness and ability to travel domestically and internationally as needed

Preferred:

● Experience supporting a President, CEO, or C-suite executive directly

● Experience supporting multiple executives or business partners simultaneously

● Familiarity with sales operations, product management, and/or marketing

● Experience in [industry-specific context]

Physical/Work Requirements

● Primarily office-based role

● Must have flexibility to travel to trade shows and customer/partner events as needed, including occasional international travel

● Standard business hours, with flexibility as needed given close alignment with executive leadership

Pay: $50,000.00 - $70,000.00 per year
