Job Summary

We are seeking a dynamic and highly organized Office Assistant - III to join our team! This energetic role is vital in ensuring the smooth operation of our office environment, providing exceptional administrative support, and delivering outstanding customer service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As an Office Assistant - III, you will handle a variety of clerical tasks, manage front desk responsibilities, and support office management functions to foster an efficient and welcoming workplace.

Responsibilities

This position provides a variety of routine and complex administrative and clerical support to the centralized payroll division within the Treasurer’s office.

Records and reconciles all cash receipts on behalf of the City.
Develops and maintains office forms and procedures.
Serves as liaison between city departments and trains staff on all cash-related transactions.
Performs complex financial processing activities in a specialized area of the treasury.
Answers telephones and routes calls or provides information as required; greets visitors and responds to inquiries from employees, citizens, and others.
Compiles data and prepares a variety of reports for all treasury functions, as necessary.
Performs data processing, bookkeeping, and understands basic accounting procedures.
Provides effective and efficient customer service and promotes and maintains responsive community and working relations.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy is essential.
Excellent organizational skills with keen attention to detail and accuracy in data entry.
Strong verbal and written communication skills; bilingual abilities are a plus to serve diverse clients effectively.
Ability to manage confidential information responsibly while providing exceptional customer support.

Special Requirements

Criminal Offender Record Investigation (CORI) background check is mandatory.

Education and Experience

Graduation from high school plus or GED equivalent.
At least two years of additional technical training or college coursework.
At least one year of office experience required.
Any equivalent combination of education and experience.

Work Environment

Work is performed in an office setting. Workload and stress levels vary dramatically. The Office Assistant III makes constant contact with other staff, members of the public, and City departments. This requires excellent customer service skills. The Office Assistant III is expected to operate in an environment where errors can be costly regarding the efficiency of the operation.

The position is generally sedentary. Employees must be able to remain in a stationary position 50% of the time. This employee occasionally needs to move about inside the office to access filing cabinets, office machinery, etc.

This position requires the operation of a computer and other office productivity machinery, such as a calculator, copy machine and computer printer. The employee must operate, activate, use, prepare, inspect, place, detect or position various equipment as needed. This position requires the employee to communicate, detect, converse with, discern, convey express oneself, exchange information. The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

This position requires the employee to detect, determine, perceive, identify, recognize, judge, observe, inspect, estimate, and assess. The ability to observe details at close range within a few feet of the observer.

This employee frequently moves boxes up to 20 pounds across office areas for various needs, including having to lift, carry, push, pull, or otherwise move objects.

Work Hours

This is a full-time non-exempt position with a typical 40 hours per week with possible availability for after normal hours of operation during emergencies and other departmental critical needs.
