Full Job Description

Founded in 1986, Advanced Alarm Systems Inc. is primarily focused on the commercial, industrial and healthcare markets. We provide top quality products from world class manufacturers of Integrated Access Control, Video Surveillance, Intrusion and Fire Alarm Systems. We are looking for an Office manager to organize and coordinate administration duties and office procedures in a fast-paced service organization. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication between teams.

Office Assistant duties and responsibilities include scheduling technicians and others service tickets/appointments, central station services, and providing general administrative support to our employees. Previous experience as a customer facing office staff is required. A successful Office Assistant should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office Assistant should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

Responsibilities

Serve as the point person for office assistant duties (Office maintenance, mailing, supplies, equipment ordering, office supply procurement)
Schedule meetings and appointments
Partner with management to update and maintain office policies as necessary. (HR experience and administration would be a strong consideration factor)
Organize office operations and procedures
Provide general support to visitors
Initial handling of all incoming service-related calls from customers to determine level of escalation needed, priority of call and approximate placement in the Service Technician’s schedule
Maintain open and continuous communications with internal staff as necessary to resolve any service-related issues
Maintain open and continuous communications with customers to ensure their service concerns are met
Schedule and maintain all Fire Protection Inspection schedules as they occur on their schedule frequency
File and distribute Fire Protection Inspection reports to customers and local F.D.s,
Prepare service invoices for approval by management
Monitor all fleet Monthly Maintenance Inspection forms for items requiring attention, escalate to Director of Operations as necessary
Maintain the fleet Monthly Maintenance Inspection form files appropriately to capture historical data
Maintain state License file log recording all valid company employee licenses for each state for Electrical, Fire, Security and Alarm trades as applicable
Monitor Service Technician’s whereabouts daily by dispatched call to ensure efficient dispatching of calls based on technician skill sets and geographical call location as well as facilitating the company’s ability to dispatch for emergency services that may be necessary
Maintain appropriate levels of security equipment and safety supplies in the warehouse and safety cabinet
Procure equipment and manage its status within jobs

Skills

Knowledge of office administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Hands on experience with office technology
Familiarity with email scheduling tools
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
