Full Job Description

POSITION PURPOSE

The Patient Access Supervisor provides administrative leadership and management of the Texas Dermatology patient access department. This individual works in a leadership team responsible for setting goals, priorities, and performance standards for centralized scheduling and registration functions including management of inbound phone calls, call routing, scheduling, referral workflows, insurance verification, and registration. This individual is responsible for overseeing initiatives and guidelines related to patient experience, quality assurance, training, call volumes, abandonment rates, call resolution, referral management, registration accuracy, and scheduling variances for scheduling managed by the department. The position requires the ability to independently plan, schedule, organize, and respond appropriately to a wide variety of subjects and situations. The Patient Access Supervisor performs management and supervisory responsibilities requiring a high degree of discretion and independent judgement.

PRIMARY DUTIES & RESPONSIBILITIES

Management and development of the patient access team
Assist in the development and implementation of guidelines, workflows, and policies
Performs operational duties necessary for the success of the patient access team
Oversees proper maintenance of quality of care
Serves as the primary trainer and mentor of the patient access team
Assist the Business office Director in mapping the patient access team workflow
Assist in attaining successful performance goals of the patient access team
Ensures that the following team responsibilities are properly handled:

Management and Development of Staff

1. Develop a positive, collaborative work environment for patient access staff

2. Assist in interviews and hiring decisions to maintain adequate staffing in the Scheduling Section

3. Assist with quality assurance audits and mentor staff on the results when needed

4. Provide timely performance metrics and improvement feedback and coaching

5. Conduct timely training assessments and performance reviews

6. Assist supervisors and other managers as needed with staff relations issues

7. Investigate and administer disciplinary action when appropriate

8. Develop staffing calendars and assure staffing needs are met

Assist in the Development and Implementation of Guidelines, Workflows, and Policies

1. Assist in developing, recommending, and implementing guidelines and workflows for the department, focusing on continuous process improvement and waste elimination

2. Evaluate adherence to policies and established workflows. Propose methods which ensure effective execution of responsibilities

3. Assist staff in implementation of changes; monitor and analyze the impact of change

4. Serve as ongoing liaison of the patient access team to the management and administrative teams

5. Serve as a second escalation point for patient issues and questions. Assist patient access staff with complex and disgruntled patient situations requiring intervention from a higher authority. Escalate complaints you are unable to resolve to the Business Office Director or other department managers as needed

6. Monitor inbound and outbound calls flow from the patient access team to identify trends in call volume, supply, and demand. Leverage analytics to adjust the workforce as necessary

7. Participate in manager meetings to maintain a connection to all departments

Operational Duties

1. Support organizational consistency of scheduling and registration workflows

2. Serve as a knowledge expert and information source for staff. Keep abreast of scheduling, insurance, referral, and billing requirements in collaboration with the patient access, credentialing & contracting, billing, clinical and administrative teams

3. Request system enhancements as needed to facilitate accurate scheduling and registration

4. Assist with the review, design, and testing of technology system features and upgrades

Maintenance of Quality Care

1. Create and implement methodologies to improve and measure the patient experience.

2. Use reports and dashboards to monitor the daily productivity of the department and individuals

3. Assist each area with meeting operational key performance indicators and industry benchmarks

4. Produce reports, monitor call queues, review call recordings, and provide recommendations for

improvement in patient care to ensure patient information is complete and accurate for billingand

clinical purposes

5. Gather and analyze departmental and program specific productivity and quality of service

statistics. Ensure quality audits are regularly performed to promote quality and identify root causes of issues.

6. Work collaboratively with other department managers on issues relating to patient scheduling,

registration, insurance verification, referrals, and reimbursement issues. Represent the department

in meetings and on committees relating to these issues.

7. Coordinate the biweekly/monthly staff meetings to ensure appropriate communication and

collaboration among Scheduling Team staff.

Training

1. Serve as the primary point of contact for administering training to the patient access team

2. Monitor trainee progress and trainer effectiveness via regular meetings

3. Monitor and identify focus areas for competency assessments. Serve as a role model,

demonstrating effective patient care, leadership, and professional behavior.

4. Provide leadership to quality improvement efforts and initiatives

5. Participate in training/development programs as agreed upon with the administrative team

In addition to performing Scheduling Supervisor duties more than 95% of the time, employees in this title perform basic scheduling duties in emergency situations of extremely high call volume including but not limited to:

Meet patient needs through a variety of methods including but not limited to:
Answer incoming phone calls and make outbound phone calls, gathering information to route appropriately
Schedule appointments via phone or via electronic correspondence
Cancel and reschedule appointments
Manage electronic worklists
Follow established scheduling guidelines
Clearly document patient requests that require follow-up from the clinical team, and route those requests appropriately
Warm transfer high priority calls to the clinical team and assist with a smooth hand-off

Create and maintain patient records:
Verify and update patient demographics
Verify and update insurance payor information
Ensure the patient’s insurance reflects the correct filing order
Activate the patient portal
Update and verify primary care and referring providers

Manage visit insurance and payment requirements:
Counsel patients on prior authorization, referral requirements, and insurance networks
Counsel patients on financial responsibility if referral is not obtained by time of service
Verify patient insurance coverage eligibility using real-time queries and payor websites
Collect pre-payments and outstanding balances

Provide excellent customer service to patients and family members:
Communicate in a manner consistent with positive patient relations
Provide helpful assistance in anticipating and responding to the needs of all patients and family members
Collaborate with callers in planning and decision making to result in optimal solutions
Remain calm under pressure and effectively deal with difficult people

Independently recognize, interpret, and evaluate situations and their level of urgency

Pay: $45,000.00 - $55,000.00 per year
