This position provides essential administrative, clerical, and basic accounting support to both the Finance Department and the Office of the Tax Collector. Primary responsibilities include managing financial spreadsheets (Excel), processing tax and sewer payments in Edmunds, maintaining records, and delivering direct assistance to the public.
GENERAL & SUPPORT DUTIES:
- Provides operational support to the Chief Financial Officer, Tax Collector, or designee.
- Process, sort, and distribute daily mail for both offices.
- Answer incoming calls, resolve routine inquiries, and deliver professional customer service.
- Manage physical and electronic filing systems, label creation, scanning, and records retention projects.
FINANCE OFFICE DUTIES:
- Assist with the preparation, scanning, filing, and tracking of the Bills List and Certification of Funds.
- Maintain and update departmental Excel spreadsheets (e.g., electric, water, gasoline usage, and employee mileage logs).
- Provide administrative support to the Accounts Payable departments as needed.
TAX OFFICE DUTIES:
- Process tax and sewer rent mail, electronic payments, collect payments, and issue receipts.
- Prepare and scan daily bank deposits, balancing transactions accurately at the end of each day.
- Handle resident inquiries regarding tax and sewer rent collections.
- Prepare and mail delinquent payment notices.
- Assist with data compilation for sewer appeal hearings.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Municipal & Office Operations: Knowledge of general office practices, local government operations, and basic municipal taxation procedures.
- Technical & Software Proficiency: Skilled in Microsoft Office (Word, Excel, Outlook). Ability or willingness to learn specialized municipal tax/sewer software Edmunds, receipting systems, and remote check deposit tools.
- Financial Accuracy: Strong attention to detail with basic accounting operations, arithmetic, cash handling, and data entry.
- Communication & Public Relations: Ability to communicate clearly, professionally, and courteously with colleagues, municipal officials, and the public.
- Organization: Demonstrated ability to manage time effectively, prioritize tasks under deadlines, and support multiple supervisors.
QUALIFICATIONS:
- High school diploma or GED equivalency degree
- Prior general office/clerical skills, customer service, handling cash and balancing transactions.
- Proficiency operating standard office equipment (computers, scanners, copy/postage machines, multi-line phones).
- Strong written and verbal communication skills, including business grammar and spelling.
