Job Summary

Join our dynamic healthcare team as a Medical Office Front Desk Specialist! In this vital role, you will be the welcoming face of our clinic, providing exceptional patient service and ensuring smooth administrative operations. Your energetic and organized approach will help create a positive experience for patients while supporting clinical staff with essential administrative tasks. This position offers an exciting opportunity to utilize your medical office experience and computer skills in a fast-paced, patient-centered environment. You will manage appointment scheduling, handle medical records, process insurance claims, and maintain clinical confidentiality policies—all while demonstrating excellent phone etiquette and customer service skills.

Duties

Greet patients warmly and efficiently check them in and out using Electronic Health Record (EHR) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks.
Schedule patient appointments accurately, coordinate follow-up visits, and manage clinic calendars to optimize workflow.
Verify insurance coverage, process medical billing and collections, including Medicare and health insurance claims, ensuring compliance with HIPAA regulations.
Review and update medical records, ensuring proper documentation review and adherence to clinical confidentiality policies.
Assist with medical coding tasks such as CPT coding, ICD-9/10 coding to support accurate billing and documentation.
Answer incoming phone calls promptly using professional phone etiquette; provide information or direct calls to appropriate clinical staff.
Maintain organized filing systems for medical records and perform data entry tasks with high accuracy using Microsoft Office tools and EMR/EHR management software.
Support clinical staff by managing care plans documentation, coordinating appointments, and handling administrative support duties efficiently.

Skills

Proven experience in a medical office setting with strong clerical skills and front desk responsibilities.
Knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; familiarity with electronic health records management is essential.
Strong understanding of health insurance processes including medical billing, collections, Medicare procedures, and health information management.
Excellent communication skills—bilingual abilities are a plus—to serve diverse patient populations effectively.
Proficiency in medical terminology, CPT/ICD coding (ICD-9/10), and documentation review to ensure accurate recordkeeping.
Demonstrated ability to handle multiple tasks efficiently while maintaining attention to detail in a fast-paced environment.
Competence in Microsoft Office applications including Word and Excel; familiarity with 10-key typing for efficient data entry.
Knowledge of HIPAA compliance standards and clinical confidentiality policies to safeguard patient information.
Exceptional customer service skills combined with phone etiquette; ability to remain calm under pressure while managing patient inquiries professionally.
