Full Job Description

Job Summary

The Bookkeeper is responsible for maintaining the financial records of the Delaware Historical Society (DHS) by accurately recording daily financial transactions, processing payroll, managing accounts payable and receivable, and reconciling financial accounts. This position plays a critical role in supporting the organization's financial integrity and ensuring compliance with nonprofit accounting standards.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining confidentiality and professionalism. Strong communication skills, sound judgment, and the ability to work independently are essential for success in this role.

Essential Functions & Responsibilities

To perform this job successfully, the Bookkeeper must be able to carry out each essential function satisfactorily. Reasonable accommodation may be made to enable qualified individuals with disabilities to perform the essential functions. Additional duties may be assigned as organizational needs evolve.

Financial Management & Accounting

Process biweekly payroll in Paycor accurately and on schedule, including benefits administration and employee onboarding and offboarding activities.
Manage the full accounts payable and accounts receivable cycle, including invoice processing, vendor payments (check and ACH), cash receipts, and account reconciliation.
Maintain the general ledger in QuickBooks by recording and reconciling financial transactions to ensure accurate and timely financial reporting.
Collect, review, and properly code employee credit card expense reports.
Process and record incoming checks and coordinate with the Advancement Department to ensure accurate recording of donations and other revenue.
Prepare check requests and process approved purchases in accordance with organizational policies and budget guidelines.
Reconcile expenses associated with programs, events, and other organizational activities.
Work closely with the Accounting Consultant to support monthly and year-end financial close processes.
Assist the Accounting Consultant and external auditors during the annual financial audit by preparing documentation and responding to audit requests.
Maintain compliance with internal controls, financial policies, Generally Accepted Accounting Principles (GAAP), and nonprofit accounting standards.

Organizational Impact

Support financial operations across multiple departments by ensuring accurate, timely, and transparent financial recordkeeping.
Provide reliable financial information and reports to leadership to support organizational planning and decision-making.
Maintain confidentiality of financial, payroll, donor, and employee information.

Education and Experience Requirements

High school diploma or GED required; associate's degree in accounting, finance, or a related field preferred.
Minimum of two years of bookkeeping or accounting experience, preferably in a nonprofit, museum, cultural institution, or similar organization.
Experience using QuickBooks is preferred.
Experience using Paycor is preferred.
Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.

Knowledge, Skills and Abilities

Working knowledge of bookkeeping principles and nonprofit accounting practices.
Strong organizational, time management, and prioritization skills with the ability to manage multiple deadlines.
Exceptional attention to detail, accuracy, and confidentiality.
Ability to work independently while also collaborating effectively with staff, consultants, vendors, and auditors.
Excellent written and verbal communication skills.
Strong problem-solving skills and a commitment to continuous improvement.
Ability to exercise sound judgment and maintain professionalism in all interactions.
Commitment to supporting the mission and values of the Delaware Historical Society.

Work Environment:

Work Schedule: Mon-Fri: 8am – 4pm or 9am – 5pm
Hybrid Remote/In-office flexibility

Physical Demands:

Must be able to remain in a stationary position 50% of the time.
The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
Constantly operates a computer and other office productivity machinery, such as a copy machine and computer printer.
