Full Job Description

Job Summary
The Client Services Administrator provides administrative, transactional, and reconciliation support for the financial and benefits-related services delivered to incapacitated clients of the Office of Public Guardian (OPG). This position is responsible for processing routine and specialized financial transactions, maintaining accurate records, supporting benefit applications and renewals, and ensuring that all documentation is complete, organized, and compliant with applicable policies and regulations.

Duties

Provide transactional support to Fiduciary Services staff including, but not limited to, processing daily bills, printing daily checks and auto disbursements, and related documentation.
Manage daily treasury functions for Eastern Bank accounts (Collective, MEAD, VA), including processing ACH deposits, Positive Pay exceptions, suspense items, and change notices, and recording all activity in EMS.
Administer STABLE accounts, including opening and closing accounts, processing transfers (e.g., Collective, VA, TrueLink, client funds), updating balances, coordinating ALR changes, and linking accounts to OPG operating and trust accounts.
Administer TrueLink accounts and cards, including transfers, ordering and closing cards, disputing fraudulent charges, updating balances, and maintaining accurate records in EMS and secure folders.
Process and oversee deposits and payments, including paper deposits to the Collective account, ACH transactions, credit card payments, and tracking credits and returns.
Set up and maintain vendors, ACH information, and automatic payments (“autos”), including proofing autos, providing coverage for autos processing, and troubleshooting rejected or incorrect transactions.
Reconcile and update monthly bank statements and accounts (Collective, VA, MEAD, OPG Savings, OPG Trust, outside bank and residential accounts), and maintain accurate records for deceased and terminated clients, including related statistics and reports.
Prepare and distribute monthly reports and calendars, maintain contract statistics (e.g., DHHS, BEAS, DOC, DHMC, private pay), and run additional financial and transaction reports as requested.
Respond to internal and external inquiries regarding checks, ACH debits, deposits, Medicaid numbers, and other financial questions, ensuring timely and professional communication.
Provide coverage for front desk phones and backup support for check processing and other fiduciary services functions as needed.

Comfortable working both independently and as part of a collaborative team.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) or related software.
Ability to quickly learn and effectively use the organization’s information systems, including financial, case management, and document management systems.
Familiarity with banking platforms, prepaid card systems (such as TrueLink), and specialized accounts (such as STABLE) preferred.
Uphold the highest standards of integrity, confidentiality, accuracy, and professionalism, and adhere to all organizational policies and procedures.

Education and Experience:

Bachelor's degree in Business Administration, Human Services, Accounting, or a related field preferred; equivalent combination of education and experience will be considered.
Prior experience in an administrative, bookkeeping, banking, benefits coordination, or related financial support role preferred.
Experience in social services, human services, guardianship, or a nonprofit setting is a plus.
