Position Summary
The Facilities Manager leads day-to-day maintenance and facilities operations across Solhem's stabilized portfolio, ensuring assets are maintained to Class A standards while driving resident satisfaction, team performance, risk management, and financial results.
Reporting to the Director of Facilities & Technology, the Facilities Manager executes portfolio-wide building systems, preventative maintenance, vendor relationships, and capital planning support.

Schedule: Full-time, typically 9:00am-5:00pm Monday-Friday, some weekend / evening work
Essential Responsibilities

Lead portfolio-wide maintenance operations by standardizing policies, overseeing on-site teams, and directing comprehensive preventative maintenance to ensure Class A service standards.

Analyze maintenance KPIs and service performance to drive operational excellence, resident satisfaction, and accountability across all communities.

Foster a culture of professional accountability and responsiveness, establishing robust staffing models and training programs that align with Solhem's hospitality-driven management philosophy.

Act as a central point of contact for staff and vendors while coordinating with the Director of Facilities & Technology on projects/capital improvements/and day to day operations

Lead / Manage / Develop Maintenance Specialists - Staff Painter, Landscaping Manager, HVAC Specialist

Offer hands-on maintenance assistance during high-demand periods, employee leave, or organizational shifts to maintain consistent portfolio performance.

Manage annual capital improvement plans and operating budgets, overseeing renovation projects and contractor performance to ensure ROI and high-quality results.

Develop strategic vendor relationships and procurement programs to leverage economies of scale, ensuring cost savings through rigorous bidding and regular performance reviews.

Solicit and evaluate multiple quotes for ownership Expense Approval Forms, ensuring contract compliance and realized cost savings through rigorous regular vendor reviews.

Create and maintain approved vendor lists and preferred vendor programs to ensure consistent service quality and cost control.

Establish portfolio-wide purchasing programs and negotiated pricing agreements for recurring services, supplies, and maintenance contracts.

Ensure compliance with building codes, safety regulations, OSHA requirements, and company policy.

Lead emergency preparedness planning and response protocols; support insurance claims and risk mitigation efforts.
Qualifications

5+ years of multifamily maintenance or facilities leadership experience; 3+ years leading multiple properties and maintenance teams.

Strong knowledge of HVAC, plumbing, electrical, building automation, and preventative maintenance programs.

Experience managing vendor relationships and service contracts.

Strong budgeting, project management, and organizational skills; valid driver's license with ability to travel regularly throughout the Twin Cities.

Experience overseeing Class A multifamily communities of 1,000+ units.

EPA Universal and/or CPO Certification; CAMT, CAPS, CPM, or related certifications.

Experience leading large-scale capital improvement projects.
In the first 12 months, the Facilities Manager will:

Improve preventative maintenance completion rates and reduce recurring/emergency maintenance issues.

Improve resident satisfaction related to maintenance services.

Establish portfolio-wide maintenance standards and KPI reporting.

Deliver capital projects on time and within budget, maintaining minimum three-bid compliance.

Achieve measurable portfolio-wide cost savings through strategic procurement and vendor negotiations.

Successfully manage staffing gaps and operational emergencies without material disruption to resident service.

Establish preferred vendor partnerships covering all major recurring maintenance and facility service categories.

5+ years of progressive multifamily maintenance or facilities management experience, including at least 3 years leading maintenance teams across multiple properties.

Strong technical knowledge of building systems, including HVAC, plumbing, electrical, mechanical, life safety, building automation systems, and preventative maintenance programs.

Demonstrated experience leading and developing maintenance professionals, including coaching, performance management, scheduling, and fostering a culture of accountability and hospitality.

Proven ability to manage maintenance operations across multiple communities while balancing competing priorities in a fast-paced environment.

Experience managing vendor relationships, negotiating service contracts, evaluating contractor performance, and implementing preferred vendor programs.

Demonstrated success overseeing capital improvement projects, renovations, and building system replacements from planning through completion.

Strong budgeting, procurement, and financial management skills, including operating budgets, capital planning, bid analysis, expense control, and cost-saving initiatives.

Experience developing and implementing standardized maintenance policies, preventative maintenance programs, operating procedures, and portfolio-wide best practices.

Working knowledge of OSHA regulations, building codes, environmental regulations, risk management practices, and multifamily maintenance compliance requirements.

Strong analytical and problem-solving skills, with the ability to evaluate maintenance performance metrics, identify operational trends, and implement continuous improvement initiatives.

Excellent communication and interpersonal skills, with the ability to effectively collaborate with property management teams, ownership groups, residents, vendors, and executive leadership.

Proficiency with Google Sheets, along with experience using property management software and maintenance work order systems such as Entrata, Yardi, or RealPage.

Highly organized with exceptional attention to detail and the ability to manage multiple projects, deadlines, and emergency situations simultaneously.

Valid driver's license with the ability to travel regularly throughout the Twin Cities portfolio.
Preferred Qualifications

Experience overseeing maintenance operations for Class A multifamily communities totaling 1,000+ apartment homes.

EPA Universal Certification, Certified Pool Operator (CPO), Certified Apartment Maintenance Technician (CAMT), Certified Apartment Portfolio Supervisor (CAPS), Certified Property Manager (CPM), or comparable industry certifications.

Experience leading large-scale capital improvement projects involving occupied multifamily communities.

Experience implementing portfolio-wide procurement strategies, preventive maintenance programs, and maintenance performance reporting.

Experience supporting emergency response planning, insurance claims, and business continuity efforts.
