Responsible for managing, training, and motivating the Mailroom personnel to insure that the mailroom is properly staffed and efficiently delivering the Company’s mail on a timely basis. Provide backup function to Corporate Services for purchasing, invoice processing, and the distribution of supplies throughout the company. Recommend and develop methods and procedures to maximize the efficient delivery of mail throughout the organization. Work closely with the Facilities Manager in meeting the quality and performance goals of the Mailroom and the Corporate Facilities Department.
Responsibilities:
- Manage, train and motivate mailroom personnel to insure the proper qualified staff is in place to efficiently track, deliver and send mail throughout the organization.
- Cross train mailroom personnel to assure sufficient coverage of all job functions required for the distribution of company mail.
- Responsible for maintaining adequate supplies for the operation of the mailroom to include envelopes for the inserter folder, Federal Express/UPS forms and envelopes; ink, tapes for postage machines and any other items required for the operation of an efficient mailroom.
- Responsible for monthly reports for accounting and senior level management.
- Daily supervision of staff, including monitoring of performance, absence and time keeping,
- Maintain adequate postage in the postage meters and prepare ACH requests to replenish postage as needed. -Provide backup coverage to Corporate Services for purchasing supplies, paying company invoices, and other functions performed by Corporate Services
- As needed from time to time provide backup coverage to Cenlar's Maintenance department including but not limited to changing light bulbs and ceiling tiles, distribution of boxes of copy paper and other functions essential to Corporate Services to support the successful operation of the Company.
- Hold periodic Staff meetings to ensure mailroom goals are being met and to foster an environment of open communication which promotes a positive team environment.
- Responsible for one-on-ones with all direct reports, establishing goals, completing & maintaining individual performance plans for each direct reports. -Perform annual performance appraisals for all direct reports.
- Other duties and projects as assigned.
- Appropriately assess risk when business decisions are made, include but not limited to compliance and operational risk. Demonstrate consideration for Cenlar's reputation as well as our clients, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues, as well as effectively supervise the activity of others and create accountability with those who fail to maintain these standards.
Qualifications:
- High school diploma or GED required
- 5+ years of facilities management experience and prior mailroom experience
- Proficient in Microsoft Office Suite
- Strong negotiation skills
- Comfortable with levels of ambiguity and managing multiple projects simultaneously
- Valid driver’s license
- Must be able to read and write English
- Must be able to lift at least 25 pounds
- Excellent written and verbal communication skills
- Excellent interpersonal skills focused on coaching, counseling and training
- Ability to work Saturday as needed
