Full Job Description

Premier Plastic Surgery Practice | Full-Time | 100% In Office

Our premier plastic surgery practice is seeking a polished, compassionate, and sales-driven Patient Care Coordinator to provide an exceptional experience throughout every stage of the patient journey.
The Patient Care Coordinator serves as the vital connection between our patients and providers. This position combines patient coordination, customer relationship sales, financial counseling, and social media content support. The ideal candidate is a confident communicator, proactive self-starter, and skilled relationship builder who can convert inquiries into consultations, support treatment decisions, strengthen patient retention, and contribute to practice growth.
This is a high-touch, fast-paced role for someone who is organized, dependable, detail-oriented, and genuinely passionate about helping patients feel informed, comfortable, and cared for.
This is a full-time, 100% in-office position. Remote or hybrid work is not available.

Key Responsibilities

Patient Coordination and Customer Service
Manage the complete patient experience, from initial inquiry and consultation through treatment, follow-up, and long-term retention.
Serve as the primary liaison between patients, providers, and the clinical team.
Create a welcoming, professional, and personalized experience for every patient.
Manage patient flow with the team from check-in through check-out.
Schedule surgical and non-surgical consultations, procedures, and follow-up appointments.
Respond promptly and professionally to calls, voicemails, online inquiries, callbacks, and new patient leads.
Provide pre- and post-procedure support in person and through follow-up calls.
Coordinate required paperwork, examinations, lab work, clearances, and written procedure consents.
Maintain patient confidentiality and follow all practice policies and applicable privacy requirements.
Customer Relationship Sales
Build trust and lasting relationships with prospective and existing patients.
Convert qualified inquiries and consultations into scheduled treatments and procedures.
Clearly explain services, treatment packages, pricing, and available payment options.
Prepare accurate quotes and provide professional financial counseling.
Follow up consistently with prospective patients who have not yet scheduled.
Identify appropriate opportunities to introduce additional services and treatment plans based on patient needs.
Support practice revenue goals while maintaining a patient-first, consultative approach.
Collect and post payments accurately.
Track leads, follow-up activities, scheduled procedures, and patient outcomes.
Schedule and Practice Optimization
Optimize provider schedules to support efficient patient flow and an outstanding treatment experience.
Identify scheduling gaps and proactively work with leads and existing patients to fill openings.
Coordinate closely with providers, clinical staff, and front-office team members.
Anticipate patient and practice needs, solve problems independently, and follow through on every commitment.

Social Media and Marketing Support

Assist with creating engaging social media content that reflects the quality and personality of the practice.
Confidently participate in photos, videos, behind-the-scenes content, and other practice promotions when needed.
Help collect approved before-and-after content, patient testimonials, educational material, and procedure-related content.
Support occasional marketing events, promotions, and community initiatives.
Encourage appropriate patient engagement with the practice’s social media platforms.
Contribute ideas that help grow and strengthen the practice’s already robust social media following.
Ensure all content collection follows patient consent and privacy requirements.

Required Qualifications

Bachelor’s degree.
At least one year of sales experience.
At least one year of computer-based work experience.
Strong written and verbal English communication skills.
Ability to work full-time and entirely in person.
Confidence discussing pricing, financing, and treatment options.
Comfort participating in social media and supporting content creation.

Preferred Qualifications

At least one year of customer service experience.
Experience in plastic surgery, aesthetics, medical spas, cosmetic dentistry, luxury retail, hospitality, or another high-touch sales environment.
Experience managing leads, consultation follow-up, and customer relationships.
Familiarity with social media content creation, including short-form video.

A successful Patient Care Coordinator will consistently deliver excellent service, build strong patient relationships, convert qualified leads, maintain accurate records and payments, optimize provider schedules, support social media growth, and help patients feel confident throughout their treatment journey.
