Job Summary

The Office Administrator supports the daily operations of the New Tripoli branch through office administration, customer service, account support, and sales-related activities. This position works closely with customers, drivers, and branch personnel to ensure efficient operations, accurate records, and exceptional customer service.

Job Responsibilities

Manage incoming calls, emails, customer inquiries, correspondence, and general office administration.
Process customer payments and maintain accurate administrative and financial records.
Assist customers with billing questions, accounts receivable inquiries, order status, and service needs.
Maintain branch inventory, customer information, and administrative systems.
Develop and maintain positive relationships with existing customers while identifying opportunities for account growth.
Promote welding equipment repairs and related products and services.
Prepare estimates, proposals, repair documentation, and other customer-related paperwork.
Assist with collections and resolution of billing issues.
Schedule and maintain efficient delivery routes for on-site drivers.
Support the Branch Manager with daily branch operations and other administrative needs.
Participate in quarterly sales meetings and monthly safety meetings.
Maintain current product knowledge and technical competency.
Perform other duties as assigned to support branch operations and customer satisfaction.

Required SkillsQualifications

High School Diploma or equivalent required.
2–3 years of office administration or customer service experience preferred; relevant experience may be considered in lieu of formal experience.
Industrial, welding, compressed gas, manufacturing, or related industry experience preferred.
Commercial repair facility experiences preferred.
Strong organizational, communication, and multitasking skills.
Excellent customer service and problem-solving abilities.
Strong attention to detail with the ability to prioritize and meet deadlines.
Proficiency with Microsoft Office 365 and ability to learn company-specific systems and software.
Valid driver's license and acceptable driving record preferred.
