Full Job Description

Job Overview
The Assistant Project Manager (APM) at Brooklyn Millwork plays a vital support role in the planning, coordination, and execution of custom millwork projects. Working under the supervision of the Project Manager, the APM helps ensure that all project phases - from design to fabrication and final installation - run smoothly, efficiently, and in line with company standards.

The APM collaborates with internal teams, vendors, and clients to facilitate timely progress, manage documentation, assist with scheduling, and uphold the highest levels of quality control and customer satisfaction.

Key Responsibilities

Project Coordination and Execution:
Support the PM in managing projects from proposal through to installation, helping track schedules, deliverables, and milestones.
Assist in creating and maintaining detailed project plans, timelines, and task lists to ensure project goals are met.
Help generate material lists and coordinate procurement processes, especially for long lead time items.
Gather field measurements and assist in organizing necessary resources for accurate data collection.
Coordinate and track sample submissions and approvals, ensuring timely follow-up on deadlines.
Monitor daily and weekly progress of projects, escalating issues or delays to the PM as needed.
Team and Resource Support:
Work with internal teams (like drafting, purchasing, and production) to make sure everyone understands the project needs.
Work closely with the Shop Foreman to understand the flow of materials and fabrication schedules.
Ensure all project participants are informed of upcoming deadlines, needs, or changes.
Client Communication Support:
Participate in client meetings with the PM and document all key points, action items, and decisions made.
Draft client updates, reports, and status summaries for review by the PM prior to distribution.
Assist in managing changes to project scope and coordinate change order documentation.
Quality Control and Inspections:
Help review fabricated items and ensure they match drawings and specifications before shipping.
Support the PM in quality control checks during installation through site visits or remote media review (photos, videos).
Communicate issues to appropriate parties and track resolutions.
Budget and Cost Management:
Assist in monitoring project budgets and flag any variances or overages to the PM.
Help collect and compile quotes, invoices, and cost documentation for review and approval.
Track client payment schedules and follow up on outstanding items as needed.
Risk Management and Problem Resolution:
Identify and report potential risks, issues, or delays to the PM early.
Support the resolution of on-site or fabrication-related issues by coordinating with the right internal contacts.
Maintain a proactive approach to problem-solving, anticipating challenges before they escalate.
Safety Compliance:
Reinforce safety protocols on site and in the shop through checklists and communications.
Ensure all safety-related documentation is up to date and properly filed.
Documentation and Reporting:
Maintain accurate and organized project files including drawings, change orders, field notes, RFIs, and approvals.
Prepare regular internal reports summarizing status updates, open items, and critical paths.
Assist in post-project reviews, collecting lessons learned and client feedback.
Post-Installation Support:
Coordinate punch lists and final walk-throughs in collaboration with the PM.
Track and follow up on any outstanding items post-installation to ensure full client satisfaction.

Required Skills and Qualifications

Technical Skills:
Understanding of custom millwork, woodworking processes, or construction trades preferred.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and project management software.
Familiarity with reading construction drawings and shop drawings.
Experience:
0-3 years of experience in project coordination, assistant project management, or millwork/woodworking environment preferred.
Exposure to managing or supporting multiple simultaneous projects is a plus.
Soft Skills:
Highly organized with strong attention to detail and time management skills.
Clear and professional communication skills - both written and verbal.
Strong follow-through and accountability.
Eagerness to learn, take initiative, and grow within the company.
Collaborative team player with a proactive, can-do attitude.

Performance Expectations

Timely completion of assigned tasks and deliverables.
Accurate documentation and record keeping.

Contribution to projects being delivered on schedule and within budget.
Accountability Areas:
Responsible for supporting the PM in keeping projects on track.
Accountable for maintaining up-to-date records and logs.
Ensure all internal and client communications are documented and followed through.
Performance Reviews:
Regular check-ins with the PM and Director of Operations.
Formal reviews every 6-12 months to assess performance, identify strengths and areas for growth, and establish goals for advancement.

Working Conditions

Full-time position with occasional overtime based on project deadlines.
Office-based role with regular visits to shop floor and occasional travel to job sites.
Must be comfortable with fast-paced work and shifting priorities.
