Full Job Description

FACILITIES ASSISTANT

Time Equities, Inc. (“TEI”), an international real estate investment and development company, is seeking a proactive, multitasking Office Services/Facilities Assistant to be part of a two-person team to provide office work that keeps everyone moving. This includes making sure office supplies, the kitchen, and copiers are all stocked up, and that incoming and outgoing mail is taken care of. This also includes a lot of small tasks that make a big difference, such as setting up offices, sometimes moving, and even fixing things. In addition, the Office Assistant will scan important documents from time to time. This is a perfect role for a person who wants to and can do a lot of different things and enjoys being helpful. (This is not an administrative position)

RESPONSIBILITIES:

Responsibilities include but are not limited to:

Relieving the receptionist for lunch and covering the front desk when the receptionist is late, calls out, or is on vacation
Keeping copier areas stocked with paper
Performing light maintenance duties as needed ex: assemble chairs
Stocking kitchen supplies on both floors
Checking all supply areas on both floors daily and making sure there are adequate supplies and that all supplies are neat and organized
Assisting in mailings as needed
Informing the Receptionist of the status of supply areas and if the office lighting is fully working on both floors
Managing, organizing, and retrieving shelved, filed, or scanned legal files
Properly labeling and scanning binders in Docushare under the right property and location
Serving amendments to tenants by building per email or hard mail
Performing mailroom duties when needed
Running errands such as going to the bank and post office when needed
Ensuring coverage by communicating to the team to back up on days not in the office
Assisting in the overall effort to maintain the TEI office neat, clean, and orderly
Other duties as assigned

REQUIREMENTS:

Must have office administration experience
Must have a can-do attitude
Must be organized and detail-oriented
Reliability and good attendance is essential
Working knowledge of Word, Excel, and Outlook
Must be able to lift and carry boxes, copy paper, etc.
