Client Intake & Experience Coordinator (New York, NY)

Location: New York, NY
Employment Type: Full-Time

About the Role

We are seeking a Turkish speaking, poised, empathetic, highly organized, and technologically proficient Client Intake & Experience Coordinator to serve as one of the first points of contact for prospective clients at our growing immigration law firm.

The ideal candidate combines warmth and professionalism with strong attention to detail, organization, and follow-through. This role is responsible for creating an exceptional client experience from the initial inquiry through consultation and onboarding, while maintaining accurate intake information and coordinating closely with attorneys and the legal team.

Key Responsibilities

Provide a professional, welcoming, and client-centered experience to prospective clients.
Respond to inquiries by phone, email, and other communication channels with empathy and confidence.
Conduct initial intake and gather relevant client and case information.
Screen prospective clients and identify appropriate next steps.
Schedule and coordinate attorney consultations and manage consultation calendars.
Follow up consistently with prospective clients regarding consultations, documents, agreements, and next steps.
Accurately enter and maintain client information in the firm's CRM and case management systems.
Manage intake pipelines and ensure all information and documentation is complete and up to date.
Assist with intake and pipeline reporting and tracking.
Coordinate with attorneys, paralegals, and administrative staff to ensure a smooth transition from intake to case opening.
Identify urgent or sensitive matters and escalate them appropriately.
Help maintain and improve intake procedures and overall client experience.
Handle confidential client information with professionalism and discretion.

Qualifications

Excellent interpersonal and communication skills.
High emotional intelligence and the ability to communicate with empathy, warmth, and professionalism.
Exceptional organizational skills and attention to detail.
Ability to manage multiple priorities in a fast-paced environment.
Strong follow-through and accountability.
Comfortable learning and consistently using technology, CRM, and case management platforms.
Experience with BlueDot or similar systems is strongly preferred.
Previous experience in client intake, customer service, client relations, hospitality, admissions, healthcare, legal services, or consultative sales is preferred.
Immigration law firm experience is a plus.
Turkish language proficiency is required.
Proactive, reliable, confident, and team-oriented.
