Full Job Description

About the Firm

Boutique immigration law office in New York City. Our practice focuses on family-based immigration, waivers of inadmissibility, removal defense, and related proceedings before the Immigration Court, with limited matrimonial/divorce work. We are a small, close-knit team serving a primarily Spanish-speaking clientele.

The Role

We are seeking a bilingual (Spanish-English) professional who combines hands-on immigration paralegal experience with the leadership and organizational skills to supervise day-to-day office operations and case workflow. This is not a pure paralegal role or a pure admin role — it is a hybrid position for someone who can produce excellent immigration work and bring order, structure, and accountability to a busy office.

You will be the person who ensures cases move, deadlines are met, staff are coordinated, and clients are kept informed — reporting directly to the attorney/owner.

Key Responsibilities: Office Supervision & Workflow Management

Oversee the daily flow of cases from intake through resolution; assign and distribute work among staff to balance workload and prevent bottlenecks
Establish and enforce office systems, case-handling procedures, and quality-control checkpoints
Supervise and support paralegals, legal assistants, and administrative staff; provide direction, training, and accountability
Monitor case deadlines (USCIS, EOIR, NVC, consulates) and ensure timely follow-up across the docket
Conduct regular case-status meetings and keep the attorney informed of workload, staffing issues, and matters requiring attention
Help foster a collaborative, professional, and respectful working environment

Immigration Paralegal Work

Prepare and assemble immigration applications and supporting documentation, including:
Adjustment of Status (I-485)
Family petitions (I-130)
Naturalization (N-400)
Waivers of inadmissibility (I-601 / I-601A)
Consular processing
Employment authorization (I-765) and travel documents (I-131)
Assist the attorney with removal defense and Immigration Court (EOIR) matters
Draft client declarations, correspondence, and legal support documents
Prepare filings for submission to USCIS, EOIR, NVC, and consulates
Conduct intake interviews and gather supporting evidence from clients
Communicate with clients regarding case updates, document requests, and procedural requirements in English and Spanish

Office Administration

Maintain organized physical and electronic case files and records systems
Help manage client communication systems, intake, and scheduling
Answer client inquiries by phone and email in English and Spanish
Support billing, invoicing, and office operations as needed

QualificationsRequired

Minimum 3 years of immigration law paralegal experience, with hands-on knowledge of family-based petitions, adjustment of status, waivers, and consular processing
Prior supervisory or office-management experience (law firm preferred) — demonstrated ability to lead staff, delegate, and impose structure
Fluency in both Spanish and English (spoken and written) — essential for our client base
Bachelor's degree
Strong writing, organizational, and communication skills
Ability to manage multiple deadlines, prioritize, and keep others on track
Professional and courteous demeanor with clients and staff

Preferred

Experience with EOIR / removal defense proceedings
Experience with matrimonial/divorce matters
Familiarity with law-firm practice-management software and case workflows
Bilingual written translation ability

Position Details

Full-time, 40 hours per week
In-office position in New York City (not remote)
Salary: $80,000 – $90,000, commensurate with experience, plus bonus and benefits
Reports to the attorney/owner
