Full Job Description

We are seeking a highly organized Project & Administrative Coordinator to support the coordination and execution of initiatives across our expanding cannabis retail operations.

This role sits at the center of communication between leadership, retail teams, and field operations. You will help ensure projects stay organized, timelines are met, and operational information flows clearly across teams as we continue to scale.

The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities while keeping teams aligned and accountable in a fast-paced environment.

Key Responsibilities

Project Coordination & Execution

Coordinate cross-department initiatives to ensure clear timelines, defined deliverables, and alignment across teams
Track project progress using spreadsheets and internal tools, maintaining visibility into milestones, deadlines, and outstanding tasks
Proactively follow up with stakeholders to ensure commitments are met and projects remain on schedule
Identify risks or bottlenecks early and escalate when necessary to maintain momentum

Administrative & Operational Support

Organize and maintain shared documentation, ensuring teams have access to the information needed to execute effectively
Maintain operational trackers, compliance documentation, and internal records across multiple retail locations
Provide administrative support to leadership including scheduling meetings, preparing agendas, and documenting key action items

Communication & Departmental Liaison

Serve as a central communication point between leadership, retail management, and field teams
Draft and distribute internal updates, rollout communications, and project documentation
Build strong, collaborative relationships with diverse teams and stakeholders while promoting a culture of respect, accountability, and proactive problem-solving

Vendor Coordination & Procurement Support

Coordinate vendor communication, supply ordering, and invoice tracking to support retail operations
Maintain procurement records and assist with tracking purchasing activity across locations

Retail & Field Support

Occasionally visit retail locations to assist with operational coordination, project rollouts, and compliance support
Help ensure operational processes and documentation standards remain consistent across stores

Qualifications

2+ years of experience in administrative coordination, project coordination, or operational support
Strong organizational skills with the ability to track multiple priorities simultaneously
Experience coordinating work across multiple teams or locations preferred
Strong written and verbal communication skills
Comfortable using spreadsheets and productivity tools to organize projects and track progress
Detail-oriented with the ability to maintain accurate documentation in regulated environments
Proactive, reliable, and comfortable following up with stakeholders to keep work moving forward
