Full Job Description

Position Overview

The Operations Associate, Brand & Events is responsible for providing administrative, logistical, and operational support to the Brand & Events team across a growing portfolio of residential communities. This role serves as the organizational backbone of the department, ensuring the successful coordination of monthly programming, brand initiatives, resident communications, vendor relationships, and operational processes.

Working closely with the Brand & Events team, Property Management, Leasing, Operations, and external partners, the Operations Associate helps execute events, maintain brand standards, coordinate communications, and manage the day-to-day administrative functions that support a consistent resident experience across the portfolio.

This is an entry-level opportunity for a highly organized, detail-oriented professional who enjoys managing multiple priorities, supporting collaborative teams, and ensuring projects are completed accurately and on schedule.

Key Responsibilities

Administrative & Operational Support

Maintain and update event trackers, design trackers, vendor trackers, and other operational documents.
Upload finalized marketing assets and organize digital files, photos, and project folders using established naming conventions.
Maintain organized storage areas and inventory of operational materials.
Manage the resident inquiry inbox, Google Reviews, and Instagram direct messages by routing inquiries, escalating urgent matters, and drafting responses for management review.
Process invoices and coordinate payments related to events and vendor services.
Coordinate business purchases and shipping logistics for event supplies and promotional materials.
Maintain internal documentation, property information, and operational resources.
Provide administrative support to managers and assist with day-to-day project coordination.
Research local vendors and assist with partnership coordination.
Partner with Operations and Leasing teams to support new property openings, amenity launches, and resident initiatives by ensuring all required communications, signage, marketing collateral, and resident materials are prepared prior to launch.
Participate in periodic property walkthroughs to identify opportunities for improvements related to branding, signage, resident communications, and overall presentation.

Communications & Scheduling

Prepare monthly Property Manager communications using established templates.
Draft resident communications for management review.
Coordinate calendars, meetings, and scheduling with internal teams and external vendors.
Assist with vendor, photographer, and brand ambassador outreach while tracking confirmations and follow-up items.
Coordinate the distribution of monthly resident offers, promotional materials, and flyers across assigned communities.

Event Production Support

Support the Manager of Events & Brand Partnerships with planning and execution of resident events across urban and suburban communities.
Coordinate event logistics, supplies, signage, and promotional materials.
Assist with event setup, organization, and occasional onsite support as needed.
Compile event attendance data, resident feedback, and performance metrics following events.
Assist with preparing post-event reports and recaps.

Brand & Resident Experience Support

Support content creation, brand activations, internal events, and partnership initiatives.
Coordinate print production timelines with approved vendors.
Ensure printed materials are delivered according to project deadlines.
Assist with resident portal updates, digital signage, and community postings.
Coordinate branded merchandise, promotional materials, and collateral orders.
Support consistency of company brand standards across multiple residential communities.

Additional Duties

Perform other job-related duties as assigned by management based on business needs.

Qualifications

High school diploma required; Associate's or Bachelor's degree in Marketing, Communications, Hospitality, Business, Event Management, or a related field preferred.
One to two years of experience in events, hospitality, marketing, real estate, customer service, or an administrative support role preferred.
Internship or part-time experience will be considered.
Strong organizational skills with the ability to manage multiple projects simultaneously.
Exceptional attention to detail and commitment to producing accurate work.
Excellent written and verbal communication skills.
Proficiency with Google Workspace (Drive, Docs, Sheets, Gmail), Microsoft Outlook, and Microsoft Office.
Ability to quickly learn new software platforms and technology.
Strong customer service mindset and collaborative approach.
Ability to work independently while managing multiple priorities.
Interest in branding, events, marketing, or residential real estate is preferred.

Work Schedule & Availability

Monday through Friday, standard business hours.
Occasional evening or weekend availability required to support resident events and company initiatives.
Local travel between properties may be required.

Essential Functions

Provide administrative support for Brand & Events operations.
Coordinate event logistics, communications, and scheduling.
Maintain organizational systems, trackers, and documentation.
Support vendor coordination and operational processes.
Assist with resident engagement initiatives and brand consistency across communities.

Physical Requirements

Ability to sit for extended periods while working at a computer.
Ability to stand and walk during onsite events and property visits.
Ability to occasionally lift and move event materials weighing up to 25 pounds.
Ability to use standard office equipment, including computers, phones, printers, and copiers.

Work Environment

Combination of office and onsite property environments.
Occasional travel between assigned communities.
Fast-paced environment requiring organization, adaptability, and attention to detail.
Frequent interaction with residents, vendors, property teams, and internal stakeholders.
