About the Role:

We're looking for a highly organized and proactive Project & Operations Coordinator to support both our Production and Operations teams. This hybrid role is ideal for someone who enjoys balancing client-facing project coordination with internal operational support and thrives in a fast-paced environment where no two days are the same.

Working closely with Project Managers and the Operations Manager, you'll help keep projects on track while supporting the day-to-day operational needs that ensure our teams and events run smoothly. Success in this role requires strong organization, excellent communication, attention to detail, and the ability to manage multiple priorities simultaneously.

This is a hybrid position based in New York City that requires employees to work from our Manhattan office three days per week.

Applicants must reside in New York State. At this time, Gramercy Tech can only employ individuals who reside in and are authorized to work in New York for this position.

Project Coordination:

Support the Production team in planning and executing client projects and events
Create and maintain project documentation, schedules, task trackers, meeting notes, and status reports
Coordinate internal resources and cross-functional teams to support successful project delivery
Translate approved project scope into actionable tasks, timelines, and deliverables
Track project progress, dependencies, change requests, and project milestones
Support client communications regarding project status, deliverables, and next steps
Coordinate meetings, document action items, and follow up on deliverables
Identify project risks and escalate issues as appropriate
Assist with onsite event execution as needed

Operations Coordination:

Support the Operations Lead with equipment purchasing and order management
Coordinate equipment requests and help track inventory needs across projects
Manage and prioritize internal team requests to ensure timely follow-up
Assist with vendor coordination and operational logistics
Maintain operational documentation, trackers, and internal processes
Help improve operational workflows and identify opportunities for greater efficiency
Provide administrative and coordination support for day-to-day Operations initiatives
Perform other related duties as business needs evolve

Skills:

Bachelor's degree in Business, Communications, Marketing, Project Management, Technology, or a related field preferred; equivalent experience will be considered
2+ years of project coordination, operations coordination, event production, or related experience preferred
Exceptional organizational, prioritization, and multitasking skills
Strong attention to detail and ability to manage competing priorities
Excellent written, verbal, and interpersonal communication skills
Proficiency with Google Workspace, including Google Sheets and formulas
Strong analytical and problem-solving skills
Ability to work independently while collaborating across multiple departments
Basic HTML/CSS knowledge is a plus
Experience in live events, experiential marketing, agency environments, technology companies, or SaaS is highly preferred

Work Environment & Travel:

Hybrid schedule with three days per week in our New York City office
Willingness to travel approximately 25–50% based on event and project needs
Ability to work onsite during live events
Flexibility to work occasional early mornings, evenings, weekends, and holidays to support live event operations

Salary Range: $60,000–$70,000 annually

Compensation for this position will be determined based on several factors, including, but not limited to, a candidate’s experience, skill set, qualifications, geographic location, market data and business needs.
