Job Overview
We are seeking a detail-oriented and proactive Law Office Client Onboarding Specialist to join our dynamic legal team who has experience in signing up prospective clients. Do not apply if you don’t have law office / law firm experience handling the tasks delineated. Do not apply if you have medical office experience, thank you.

This role is crucial in ensuring a seamless onboarding experience for new clients, intake, interview, follow up and follow through with potential clients, providing them with the necessary information and support as they begin search for an attorney and hopefully their journey with our firm. The ideal candidate will possess a strong background in various areas of law, exceptional organizational skills, and the ability to manage multiple projects efficiently.

Responsibilities

Be the point of contact for prospective clients
Collect information on client and claim/case, collect documents from prospective clients.
Discuss the case with clients, facilitate attorney communication.
Manage prospective and client list.
Facilitate the onboarding process for new clients, ensuring all necessary documentation is collected and processed.
Opening file, populating system, physical and database.
Conduct client interviews to gather pertinent information and assess their legal needs.
Maintain accurate records within our document management systems, ensuring compliance with legal standards.
Collaborate with attorneys to prepare and review legal documents related to various practice areas including estate planning, family law, immigration law, and more.
Ensure deadlines are calendared and kept.
Utilize legal research tools such as LexisNexis and Westlaw to support case management and client inquiries, accessing dockets.
Provide executive administrative support by managing schedules, organizing files, and coordinating meetings.
Assist in project management tasks to ensure timely completion of client-related projects.
Uphold excellent phone etiquette while communicating with clients and external parties.
Keep detailed notes and prepare retainer agreements.
Conduct document reviews for accuracy and completeness prior to finalization.
Closing files and obtaining positive feedback.
Billing and collections.

Skills

Strong knowledge of sales and customer service.
Proficiency in CLEO and Microsoft Office for effective case management.
Demonstrated paralegal experience with a focus on legal drafting, proofreading, transcription, contracts, and clerical tasks.
Excellent research skills with the ability to perform thorough legal research and data entry accurately.
Strong organizational skills with the ability to manage multiple tasks simultaneously in a fast-paced environment.
Exceptional writing skills for clear communication and documentation purposes.
Familiarity with litigation processes and document review procedures.
