While headquartered in Brooklyn, New York, we primarily serve clients throughout New York and New Jersey, with select services available nationwide and internationally.

We are seeking a dependable, professional, organized, and customer-focused Office Assistant & Client Services Coordinator to join our growing team.

As the first point of contact for our clients, you will play an important role in creating a welcoming, organized, and professional office environment while supporting the daily operations of our office.

Position Summary

The Office Assistant & Client Services Coordinator serves as the face of Serviced by Pros, providing exceptional customer service while assisting with client intake, scheduling, administrative support, document management, and daily office operations. This position is ideal for someone seeking long-term employment with opportunities to contribute to a growing professional services firm.

This position requires professionalism, confidentiality, attention to detail, and the ability to work independently while maintaining a positive and welcoming environment.

Work Schedule

Monday: 10:00 AM - 5:00 PM

Tuesday: 12:00 PM - 6:00 PM

Wednesday: 11:00 AM - 5:00 PM

Thursday: 9:00 AM - 1:00 PM

Friday: 10:00 AM - 2:00 PM

Every Other Saturday: 10:00 AM - 4:00 PM (Required)

Applicants must be available to work every other Saturday as part of their regular work schedule.

Schedule may be adjusted based on business needs. Advance notice will be provided whenever possible.

Responsibilities

Welcome clients, visitors, and vendors courteously and professionally.
Answer and direct incoming telephone calls and respond to general inquiries.
Schedule consultations and appointments, and maintain office calendars.
Conduct client intake and assist with collecting required information and documentation.
Receive, organize, scan, copy, print, upload, and maintain client files and records.
Prepare client files and assist with administrative document preparation as directed.
Process payments and issue receipts.
Follow up with clients regarding appointments, requested documentation, and administrative matters.
Maintain organized physical and electronic filing systems.
Open and close the office according to established procedures.
Monitor and replenish office, kitchen, and client hospitality supplies as needed.
Prepare outgoing mail and receive incoming mail and deliveries.
Perform local court filings, document deliveries, document retrieval, and other administrative errands as needed.
Travel to local courts, government agencies, post offices, and other locations within New York City as required.
Maintain a clean, welcoming, and professional reception and common areas.
Assist with special projects, community events, workshops, and other office initiatives as assigned.
Maintain strict confidentiality of all client, employee, and company information.
Perform other administrative duties as assigned to support the daily operations of the firm.

Required Qualifications

High School Diploma or GED.
Excellent customer service and interpersonal skills.
Strong verbal and written communication skills.
Professional phone etiquette.
Strong organizational and multitasking abilities.
Basic proficiency with Microsoft Office and Google Workspace.
Reliable, dependable, and punctual.
Ability to work independently and as part of a team.
Ability to travel locally within New York City when required.
Ability to maintain strict confidentiality

Preferred Qualifications

Associate's Degree or higher.
Previous experience as a receptionist, administrative assistant, legal assistant, office assistant, or in customer service.
Ability to communicate in Spanish or Haitian Kreyol is highly preferred to better assist our diverse client community.
