Description:

Position Summary: With latitude for independent judgment, the Outreach Coordinator provides community outreach and related administrative support to the Executive Deputy Counsels and Deputy Counsels and other OGC attorneys based at New York City Public Schools (NYCPS) headquarters, including but not limited to responding to inquiries and requests for information, maintaining databases and records systems, locating records from such systems as needed, communicating and corresponding with varied audiences, and ensuring smooth functioning of office operations. Performs related work.

Reports to: May report to one or more of the following: (1) Senior Executive Deputy Counsel, and the Executive Deputy Counsel, Budget, Compliance, and Operations; (2) Executive Deputy Counsel, Discipline and Investigation, and the Executive Deputy Counsel, Contracts & Commercial Matters; (3) Executive Deputy Counsel, School Governance and Policy, and the Executive Deputy Counsel, School Supports.

Direct Reports: N/A

Key Relationships: Senior Executive Deputy Counsel, Executive Deputy Counsels, Deputy Counsels, Senior Field Counsel Director, Office of Federal and State Regulatory Compliance Director, Chief Privacy Officer, Office of General Counsel personnel, Office of the New York City Comptroller, Office of the Corporation Counsel and Office of the Special Commissioner of Investigation.

Responsibilities

Receives, tracks, research and coordinates with assigned attorneys to respond to inquiries from internal staff, other City offices, and the general public to OGC, or routes such inquiries appropriately.

Coordinates communications with, and retrieves records from, NYCPS schools and offices in response to requests for information from members of the public.

Maintains and enters data related to OGC legal matters in various databases and spreadsheets to update and track case status, close cases, run reports, and archive files.

Manages requests for representation by NYCPS employees by communicating with employees, gathering relevant paperwork, and preparing recommendation letters for review.

Oversees the receipt, distribution, and assignment of claim requests from the Comptroller’s Office; prepares responses as appropriate.

Communicates with schools and offices within NYCPS to gather information to process claims.

Prepares responses and interacts with Comptroller’s office.

Processes requests to preserve records and videos, prepares communications to relevant offices, and communicates with outside law firms.

Maintains updated information on the Chancellor’s Regulations for research and retrieval in response to requests, including community outreach purposes.

Prepares and formats Chancellor’s Regulations for posting.

Assists in gathering information and preparing legal documents requested by the General Counsel, Executive Deputy Counsels, Deputy Counsels, and other attorneys related to specific cases or requests for information.

Manages Executive Deputy Counsels’ and Deputy Counsels’ schedules, and travel arrangements as needed; fields incoming calls to the Executive Deputy Counsels and Deputy Counsels; coordinates meetings for high-level officials.

Prepares correspondence involving complex and/or confidential material.

Exercises judgment in prioritizing messages, meetings, and incoming requests.

Conveys information and instructions to OGC staff as directed by the Executive Deputy Counsels or other senior attorneys.

Assists other attorneys and administrative staff in OGC as needed.

Ensures the law library is up to date and manages subscriptions to legal publications.

Performs work using various Microsoft Office applications (e.g., Word and Excel) and other computer applications (e.g., Adobe Acrobat), including letters and other assignments.

Coordinates and handles additional administrative responsibilities and attends meetings as needed.

Provides support to the Records Access Unit, Subpoena Unit, and Privacy Unit, as needed.

Ensures the smooth functioning of office systems and provides general office support, including but not limited to ordering supplies, reporting defective office equipment, maintaining rotation calendar, receiving and sorting mail and faxes.

Oversees file maintenance, retrieval, and off-site storage.

Notarizes documents.

Qualification Requirements:

Minimum

1. A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or

2. High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or

3. Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one (1) year of experience as described in “1” above.

Plus

In addition to meeting the minimum requirements, individuals must have two additional years of the experience described in "1" above.

Preferred

Advanced skills and proficiency with Microsoft Outlook, Excel, PowerPoint, Adobe Acrobat, Westlaw, and other software including document review software, as well as experience in data entry.

Excellent communication, interpersonal, and organizational skills.

Ability to write clearly and concisely and proofread for typos, grammatical errors, and formatting inconsistencies.

Ability to take initiative and be self-motivated and flexible.

Certification as a notary public; NYCPS will facilitate and pay for (re)certification.

Salary: $72,114 - $79,325

(Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
