Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support various administrative functions, enhance communication, and foster a productive work environment. If you thrive in a fast-paced setting and excel at multitasking, this opportunity is perfect for you! You’ll play a key role in managing office tasks, supporting staff and clients, and maintaining an organized workspace that promotes success. There are ways to grow in the company. Duties

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Coordinate calendar management, scheduling appointments, meetings, and events efficiently using productivity software
Perform data entry tasks accurately using spreadsheets, Word processing, and other Microsoft Office tools
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents
Support bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping with QuickBooks or similar software
Provide exceptional customer service by addressing inquiries promptly via phone or email and supporting client communication efforts
Assist with office management duties like ordering supplies, overseeing office equipment maintenance, and ensuring a clean, functional workspace

Requirements

Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace productivity tools
Demonstrated computer literacy including data entry, proofreading, and document formatting skills
Excellent phone etiquette with experience managing multi-line phone systems and providing customer support
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Experience with office management software such as QuickBooks is preferred but not required
Previous experience in sales a plus but not needed; familiarity with calendar management and personal assistant duties is advantageous
