We are looking to hire a Regional Program Assistant!

Summary:

Provide daily administrative support to the Regional Program Administrators and Manager of Local Programs, including but not limited to, copying, filing, researching, preparing reports, preparing and entering the Federal Funding Accountability and Transparency Act subaward into the sub-award database, handling public notice and hearings process and assisting with development and review of state and federal grant applications and contracts.

Roles and Responsibilities:

Assists with providing technical assistance to subrecipients of local and county transportation programs. Responds to written inquiries on a variety of subjects directly related to the Unit’s grant programs. Conducts any research necessary to prepare responses.
Responds to telephone and written inquiries from subrecipients and the general public on a variety of subjects directly related to the Unit’s grant programs.
. Collects relevant grant information provided by subrecipients and/or Regional Program Administrators to support grant development and continuation of active awards, including but not limited to subrecipients reporting, yearly Certifications and Assurances, and National Voter Registration Act reports,
Prepares contracts, leases, and technical documents for the subrecipients for various federal and state grant programs, including but not limited to, Section 5310 (Elderly and Persons with Disabilities Program, 5311 (Non-Urbanized Transportation Program), State of New Jersey Senior Citizens and Disabled Residents Transportation Assistance Programs (casino revenue-funded programs) and other related grant programs administered by the department.
Responsible for data input and document uploads related to state and federal programs on the Units S-RIDES database.
Prepare and enter all federal funding source(s) grant award information into the Federal Funding Accountability and Transparency Act (FFATA) sub-award reporting system, Ensure timely submission meets federal requirements.
Prepare and execute the public notice and/or public hearings process for the department. Work with other departments within NJ TRANSIT and other private entities such as newspapers to ensure public participation requirements are being met.
Attend meetings and/or program audits as necessary.

Education, Experience and Qualifications:

Minimum:

Bachelor's Degree in Public Administration, Business Administration or related field preferred, but not required.
Three (3) or more years of experience that includes knowledge or experience in program administration and/or contract compliance.

Preferred:

Community transportation experience desired.

Knowledge and Skills:

Essential:

Excellent verbal, writing skills and computer literacy in Microsoft Office Suite (Word, Excel, Access, PowerPoint, and Outlook) required.

Certificates, Licenses, Registrations:

Valid NJ Driver’s License required

Working Environment:

Office environment. With supervisor approval, some work can be done remotely. Must be willing to travel all around the State and PA when necessary for in-person meetings.

Physical Demands:

General office work including filing, giving presentations, attending meetings in and out of NJT offices, carrying typical office materials to meetings.

Other Conditions:

Some public meetings to attend may occur outside of typical 8:30am- 5pm workday, for example meeting in early evening.
